Additionally, the Coordinator will provide administrative and operational support to the Department Head and Department Administrator. The Coordinator will work closely with the department leadership to identify strategic opportunities and implement special initiatives aligned with the goals of the School of Mathematics. The position reports to the Administrative Director with dotted lines to the Department and Associate Heads. This position is eligible for hybrid work from home and/or on campus work dependent upon individual performance and organizational need, though at least three days of on-site work will be expected. Job Description (60%) Faculty affairs administration Promotion and Tenure (P&T) and Annual Review: Provides administrative and operational support to the associate head and relevant committees through the departmental P&T processes for tenure stream and term faculty, including: Operational support for P&T committee functions. Compilation of faculty dossiers and detailed record keeping for processes with multi-year memory. Administrative/writing support for the P&T committee in the generation of annual reviews of faculty. Documentation and design of processes surrounding annual reviews and P&T. Faculty Hiring: Provides administrative and operational support to the associate head and search committee chairs for departmental hiring and recruitment processes, including: Operational and administrative support to the search committee Organization and management of applicant and search committee data and candidate interactions Liaises between faculty search/recruitment committees and departmental staff and faculty members to design and schedule interview/recruitment visits Documentation and design of processes surrounding search processes. Support for other faculty committees and processes: Similar modes of support will be provided to other faculty-led committees and processes (e.g. curricular task forces, nominations and awards committee, instructional review committee, postdoc search committee, etc) (15%) Administrative and communications support for department head Drafts documentation and external correspondence related to departmental processes Aids in the solicitation, collection and organization of reference letters for promotion and tenure candidates and award nominations Provides research support and data collection related to departmental strategic planning and analyses (10%) Administrative and communications support for department administrator Responsible for creating and updating the departmental annual schedule and working with the department leadership team and administrative director to execute tasks. Provides logistical and research support for leadership meetings. Prepares official correspondence for the administrative director as needed. Collaborates with the administrative director to organize and prepare agendas for monthly staff meetings. (10%) Special Initiatives Supports special initiatives and efforts identified by faculty and department leadership Works closely with department leadership to creatively implement new strategic opportunities aligned with the mission of the School of Mathematics (5%) Other Duties: Provides backup support for departmental events, as needed. Serve on committees for the University, College, and department, as needed Qualifications Required Qualifications: BA/BS or a combination of related education and work experience to equal four years; applies know edge and skill to a recurring task or activity with emphasis typically on precision and timeliness of execution. Preferred Qualifications: Highly organized and detail-oriented. Strong interpersonal skills, and ability to work closely with both faculty and academic administrators. Experience with employment visas. Strong written communication skills. Flexible and able to balance multiple projects based on urgency of assignments and timelines. Able to self-start and self-monitor work projects. Experience with computer programs for educational administration, including calendars, spreadsheets, and survey software. Willingness to learn new software programs as appropriate. Able to maintain confidentiality of sensitive information. About the Department The School of Mathematics, located in the heart of the College of Science and Engineering, has about sixty-five tenure-stream faculty covering essentially all areas of mathematics. The department has a long history of interdisciplinary research, but is equally strong in the core areas of mathematics.
