The standard work hours for this position are 8:00-4:30 p.m. with a 30 minute lunch break. There may be flexibility in the start and end time as determined with the supervisor. This position maintains a hybrid work schedule, with the ability to work remote 1 day per week, and on-site 4 days per week so we can maintain support for our on-site dental clinic staff and faculty. The full salary range of this position is $30.49-$50.30, depending on qualifications. Position Responsibilities: Clinic Coordination 50% * Coordinate graduate faculty coverage for clinic sessions. Assist in contacting Adjunct and other faculty for coverage as directed. * Supply ordering for Clinic supplies; from UMarket, create PO's for other vendors, etc * Maintain or create an ongoing inventory system for graduate clinic supplies * Monitor resident on-call schedule and communicate resident assignments * Fax/Send notes to employers/schools releasing patients from duties or assignments on behalf of faculty and residents * Fax/Send notes to medical and/or dental providers on behalf of faculty and residents. * Scan patient care documents into patient charts in a timely manner. * Run clinic reports from patient records, supplies, or other areas. * Support and track clinic repairs to equipment and remodeling or upgrades to clinic(s) or area space. Includes technology updates and changes and tracking IT work. * Keep an electronic log and track dental devices (implants, and graft materials, biologicals). * Keep track of surgical guide orders, and communicate with in-house and outside laboratories. * Audit charts for faculty compliance with the approval process of treatment plans, procedures, and resident evaluation. Advise faculty on compliance issues if needed. * Review the Drug Log periodically for accuracy for the clinic(s). * Keep track of DEA Certificate and 222 drug order forms * Complete paperwork for and properly dispose of expired dental materials and drugs (non narcotics and narcotics) in the clinic(s) * Keep track of faculty and staff dental licenses and proper certifications for expiration dates and renewals. * Create a mechanism for tracking CODA required clinical metrics * Under the direction of the Program Director, provide administrative support for the preparation and completion of the CODA Self Study document in partnership with the grad program coordinator * General clinic administrative support: form processing, faxing and filing, and other related administrative support. * New hire assistance (access requests, supply access process, etc.) * Other duties as assigned Supervision of clinic staff (25%) * Responsible for supervision of dental assistants in Periodontics clinic. Interview, hire, train, discipline, reward and evaluate employees. * Demonstrate positive interpersonal skills in working with faculty, staff, students and patients. * Work effectively with all assisting staff in creating a productive and supportive work environment. Promote team building with staff. * Be able to adjust to changing needs of clinic environment and assist staff through changes in clinic. * Develop and maintain systems to achieve consistent policies and procedures. Enforce University and School of Dentistry clinic policies to assigned staff. * Responsible for integrating and defining staff rules and expectations. * Serve as a liaison between staff and students in coordinating and directing concerns to faculty as needed. Resident Patient Chart Review (10%) * Assist the Program Director by, preparing patient lists, reviewing and updating treatment status, updating patient medical history, diagnosis, and exam date. (coordi ates with all residents at least 2 times per year.) * Prepare residents yearly production reports * Audit charges for the clinic and notify residents of procedures that need to be charged up * Screen referrals for Medical Assistance patients and document in chart for residents prior to treating these patients. * Audit charts for proper documentation, including but not limited to consent forms, treatment plans, and materials used. * Other duties as assigned Manage the clinic schedule in Axium (10%) * Keep track of the daily schedule for issues regarding surgery conflicts, IV sedation conflicts etc. * Create the clinic schedule in Axium each semester. * Block faculty in the axium schedule for time not in clinic * Monitor short-notice schedule changes and notify patient care coordinators to contact patients, modify schedule as needed. * Work with patient care coordinators for Predoc DDS students regarding the Junior Block Rotation in Grad Perio * Work with patient care coordinators on any issues that arise with current and future scheduling for residents, faculty or patients. * Other duties as assigned Patient Care 5% * Provide chair side assistance when clinic coverage is needed. Qualifications All required qualifications must be documented on application materials Required Qualifications: * BA and 2 years of experience or a combination of education and experience to equal six years * Supervisory experience * Graduation from an accredited dental assisting program * Current State of Minnesota Dental Assistant License * Certified as a Dental Assistant (DANB) * Current CPR Certification * Computer experience and expertise level in Microsoft: Word and Excel (creating and writing letters, creating spreadsheets, etc) * Able to demonstrate working successfully with and providing exceptional customer service to diverse patients, faculty, staff, students, and external vendors.
