Description
We are in search of an Office Assistant to join our team based in Minneapolis, Minnesota. In this role, you will be tasked with various operations functions, ranging from managing supplies and mail to ensuring the smooth running of office equipment and spaces.
Responsibilities:
• Efficiently handle incoming and outgoing packages, including mail, FedEx, and UPS, ensuring accurate sorting and distribution.
• Oversee the operation of office equipment, such as copiers, addressing any issues and liaising with technical support where necessary.
• Collaborate with external vendors and confirm invoices.
• Manage the ordering and receiving of all office supplies, maintaining accurate records for management reports, and ensuring inventory is always adequately stocked.
• Distribute office supplies, mail, and packages to designated areas throughout the day.
• Maintain an organized filing system and ensure timely filing of documents.
• Set up and clean conference rooms as per requirements.
• Handle catering functions, including the ordering and delivery of food and beverages.
• Oversee the inventory of catering supplies, including food and beverages.
• Ensure the cleanliness and organization of the office, including kitchen duties such as stocking fridges, operating the dishwasher, and organizing plates.
• Assist with any office-related issues, such as broken equipment, providing a solution-oriented approach.
• Handle inbound shipments with an understanding of the shipping and receiving environment.
• Utilize Microsoft Excel and Microsoft Office Suites for administrative tasks.
Requirements • Proficiency in Microsoft Excel for data entry, sorting and analysis purposes.
• Experience in facilities management to ensure smooth operation of the office.
• Prior experience in administrative assistance to support the executive team.
• Ability to handle inbound shipments, including tracking, receiving and distribution.
• Strong interpersonal communication skills to interact with team members and clients effectively.
• Capacity to collaborate with different teams to facilitate project completion.
• Proficiency in using Microsoft Office Suites including Word, PowerPoint and Outlook.
• Experience in managing catering for office events, meetings and other occasions.
