The Office of the Minnesota Secretary of State's Office seeks a mailroom assistant to assist with mail processing and general clerical duties for the Safe at Home program, Minnesota's address confidentiality program.

Job duties include but are not limited to:

  • Facilitate mail receipt, processing, and distribution.

  • Collect and deposit program mail and transport it to and from the office.

  • Assist with incoming and outgoing mail processing.

  • Receive, organize, and stock mailroom supplies.

  • Assist with maintaining program data by performing general data entry.

Limited travel will be required. The incumbent must have access to a reliable motor vehicle .

Minimum Qualifications

  • English sufficient to 1) speak, read, understand, and respond to written and spoken communications with customers; and (2) prepare written responses to routine inquires.

  • Customer service skills sufficient to 1) provide prompt, courteous, and accurate information to customers in-person, through e-mail, and other written correspondence; and 2) effectively communicate and elicit information with tact and diplomacy in difficult situations.

  • Math skills sufficient to perform basic calculations.

  • Data entry skills sufficient to review and process documents with efficiency and accuracy.

  • Basic computer knowledge to learn and operate necessary equipment and software.

  • Ability to meet physical demands: to lift up to 25 pounds independently; ability to transport up to 70 pounds using a cart or similar device; ability to climb, bend, reach, carry, and push/pull; ability to sit or stand continuously for long periods of time and perform repetitive motions; ability to operate, mailing machines and other equipment to perform job functions

  • Class D driver's license and access to a reliable vehicle.

Preferred Qualifications

  • Experience processing incoming and outgoing mail

  • Experience operating a postage meter machine

  • Experience working with people in crisis or people who have mental health needs

  • Experience working with private or confidential data

  • Experience maintaining customer records

  • Knowledge of United States Postal Service methods and operations
