Emergency Medicine is a Department within the Medical School with 120 faculty (mostly at affiliate locations), 15 staff with a large temp casual pool of research nurses and instructors. The position has 3 direct reports at the administrative level. The department will be growing exponentially as the Fairview and UMN agreements take effect over the next year or so. This position will be integral to the successful management of this transition and growth and building of a research and clinical infrastructure This position is based out of Minneapolis, MN and is eligible for hybrid work. Weekly regular on-site is expected and will be required though there is flexibility in the schedule. This is a "hands on" position. In addition to leadership responsibilities, the position includes managing and supporting day to day educational offerings, office management, ordering, and space management. Strategic Partner & Project Management: 20% Serve as the administrative dyad partner to the Department Chair with the charge to organize and implement strategic initiatives for the department, aligned with the tripartite mission of research, education, and clinical service. In partnership with the Department Chair and UMP medical directors, lead department collaboration across M Physicians (UMP), Fairview Health Services, M Health Fairview, and community partners. Lead initiatives including special projects and process improvement opportunities. Collaborate with HR & Finance to ensure efficient administrative support for faculty hiring requests, searches, hiring, onboarding, mentoring, promotions and tenure. Assures excellent communication within the department and other key constituencies Clinical Oversight & Management: 20% A growing department, currently with 10 providers. This role may expand exponentially with the additional of 20 more faculty and primary leadership of the UMMC emergency department. Partner with M Health Fairview service line administration, UMP clinical operations team, and Medical Directors to ensure departmental perspective is represented, align priorities across multiple groups, and jointly communicate clinical issues within the academic department. Partner with UMP clinical operations, service line administration and faculty clinical providers to implement new clinical programs and/or UMP or M Health Fairview initiatives. Work in conjunction with physician scheduler on schedules as required.. Align clinical practice with financial expectations in partnership with Medical School finance. Serve as point of contact and liaison with UMP centralized resources on behalf of faculty practice. Provide input into Clinical Service Unit (CSU) budgeting, monitor CSU budget and forecasts in partnership with Department Head, CSU leadership, and UMP finance. Liaison with UMP business development teams to support Department Chair's plan for growth. Financial Management 20% Serve as primary contact for departmental contracts for purchasing and for External Service Organizations Working in collaboration with department accountant and finance to build and monitor departmental budgets, spending and revenue streams. Oversee foundation funds, distribution and management. Build an ongoing system of solicitation. Incorporate understanding of complex contracting, billing, and compliance issues to guide decision-making and operational design Oversee clinical billing and Qenda entry and maintenance. Faculty Management: 15% In alignment with Department Leadership, monitor and ensure appropriate balance of faculty effort across teaching, research, and clinical responsibilities. Partner with HR and the service line on faculty hir ng requests, approval process, search, hire, and formal onboarding process. Oversee governance structure as department grows. Monitor and review faculty compensation plan in collaboration with Medical School finance and Department Chair to ensure consistent application of compensation model. Lead all aspects of promotion & tenure process for the department and partner with the Medical School Office of Faculty Affairs to ensure process compliance within the department. Oversee, with assigned staff, faculty tracks including academic track, adjunct and master clinician tracks. Office Supervision & Leadership: 15% Lead administrative team supporting the department chair and faculty needs within the department. Align resources within the department to ensure resources are allocated in support of the department's strategic plan. Lead process improvement initiatives to ensure effective, efficient administrative support Education: 5% Partner with education programs to integrate into clinical and research opportunities. Ensure infrastructure and resources to handle learner rotations through department. Monitor performance of education programs and recommend improvements as appropriate. Communications, Facilities, Other Duties: 5% Respond in collaboration with Department leadership to non-routine needs of the Department and Medical School. Liaison for communication within the Department including website, internal communication, and electronic communication and supervise this role. Manage, in collaboration with Department leadership, facility needs including remodeling space, allocating space per University policy. Coordinate departmental technology policy and needs, making decisions about how often to replace computers, ordering technology to support new faculty. Qualifications Required Qualifications: Bachelor's degree in Business, Healthcare Administration, Finance, or a related field, with a minimum of 6 years of relevant experience in a healthcare or academic setting. At least 3 years of experience in a management role, including supervision and budgetary responsibilities. Strong service orientation, oral and written communication skills, judgment and the ability to work collaboratively with faculty, staff and students. Proven project management skills. Demonstrated ability to develop professionally and assume increasing levels of responsibility. Preferred Qualifications: Master's degree in Business, Healthcare Administration, Finance or related field. Management experience in an academic, research, health care or similar setting, ideally with a physician leader. Knowledge of the administrative requirements associated with sponsored research, physician practice management, and graduate medical education. Application deadline: End of December.
