The department has weekly seminars for most of the year that require different levels of planning and oversight. The position will also support other Medicinal Chemistry events as needed. For example, the yearly Medicinal Chemistry Recognition event, Medicinal Chemistry Graduate Recruitment events, MIKIW, department picnics, etc. Provide general administrative support for faculty, staff and students in the Medicinal Chemistry department, as requested, in coordination with the department's four other administrative staff. Work Arrangements: This position is hybrid with the ability to work remotely 2 days per week. The position will require on-site presence for seminars and events, with infrequent weekend and evening presence needed. Principal Duties and Responsibilities: 50% Department Seminar Oversight - Oversee the Medicinal Chemistry seminar program. - Work with faculty responsible for the Medicinal Chemistry seminar series to plan the seminar schedule, determine seminar logistics, communication, etc. - Manage all logistics for weekly seminars, including but not limited to: seminar room reservations, agenda creation, speaker arrangements, payment and reimbursements, and seminar communications including emails, posters, and monitor displays. - Maintain and update seminar calendar and schedules, work with the Assistant to the Department Head to keep the seminar website up-to-date. - Keep accurate records of the seminar program in line with department policies. 35% Administrative Support - Assist with Medicinal Chemistry events such as symposiums, graduate program recruitment events, department recognition, picnics, MIKIW, etc. in conjunction with the Administrative Manager and Assistant to the Department Head. - Assist with mailing packages via FedEx for labs, and assist other staff with tracking packages and troubleshooting issues. - Assist with day-to-day administrative duties as needed: filing, copying, room reservations, scheduling, updating building signage, labeling packages, distributing mail, etc. 10% Department Financial Support - Assist with expense reimbursements for faculty, students, and staff in Chrome River as needed to support department operations. - Receive and process departmental orders via PCard and EFS with close attention to accuracy, as needed to support department operations. - Collaborate with other administrative staff to ensure smooth operation of financial processes; share knowledge, solutions, etc. effectively with the staff team. - Keep good records of financial documents and transactions in alignment with university & department policy. 5% Other duties as assigned Qualifications All required qualifications must be included in the application materials Required Qualifications: - BA/BS or a combination of related education and work experience to equal four years. - Previous office, event planning, communications, and/or customer service experience. - Advanced experience with Microsoft (Word, Excel, Publisher, etc.), Google Suite applications (Google Docs and Sheets, Google Drive, etc.), and internet browsers and searches. - Experience formatting, drafting, and writing correspondence, reports, and meeting materials. - Strong communication, interpersonal and customer service skills, and excellent attention to detail. - Ability to work effectively with and across diverse communities. - Ability to work both independently and in a team environment. - Ability to travel between the department's 3 locations year-round and carry up to 25 pounds. Preferred Qualifications: - Prior experience at the University of Minnesota in communications and event planning. - Experience in University sys ems like- EFS PeopleSoft, UMN Purchasing, Chrome River, UMarket. - Skilled at working with details, managing workflow, and meeting deadlines - Ability to work in a fast paced environment; deals well with multiple, competing demands. - Ability to learn new software platforms (i.e. Drupal, Box) and processes (international and hazardous material mailing, laboratory safety, etc.) quickly About the Department The Medicinal Chemistry department consists of a diverse group of faculty members, graduate students and postdoctoral fellows, and research scientists working at the interface of chemistry and biology and is home to the editorial offices of theJournal of Medicinal Chemistry andACS Infectious Diseases.
