The Administrator manages the daily business operations of the MNC to include financial, HR and payroll processes, grant reporting, acting as facilities liaison, and employee supervision. This position works closely with and is supervised by the Director of the Minnesota Nano Center. This position will be primarily in-person; office location is in the Physics-Nano Bldg Position Responsibilities Managing budget, financial and day-to-day office operations (60%) * Supervise and assist in preparation of budgets and financial statements * Identify and create reports to regularly evaluate revenue and expenses * Review and approve requisitions, expense reports, reimbursements, deposits * Monitor specialized accounts: Plant Fund, Inventory, OVPR equipment awards * Manage fiscal year end reconciliation of non-sponsored accounts * Keep abreast of various financial policy changes and communicate changes to staff as appropriate * Prepare monthly billing for all internal and external lab users * Manage fixed fee invoicing process for external users * Prepare monthly statistics and various reports for NSF-sponsored grant * Manage external contracts such as Lab Use Agreements, Service Agreements, and Confidentiality Agreements * Assist the Associate Director of Laboratory Operations with annual rate development * Interface with MNC Director regarding operational issues and changes * Supervise the business correspondence of the Center Supervision (15%) * Supervise two FTE Bargaining Unit staff: review work, communicate deadlines, policy and process changes * Approve absences, prepare annual performance reviews, assist in resolution of issues Managing HR activities (15%) * Manage payroll distributions for all staff and student workers within the MNC * Post and manage open positions within PeopleSoft HR system * Organize interview process, new hire paperwork, onboarding activities * Process job changes, leaves of absence, terminations * Serve as PAT Administrator for all Center staff * Investigate and resolve issues with absence reporting for Center staff * Coordinate the Center's human resource policy compliance and implementation Meeting/Workshop Management (5%) * Prepare communications, polls, calendar invites, space reservations, IT needs, catering * Organize hotels and on campus housing, parking reservations, sponsored accounts * Make travel arrangements Other duties (5%) * Act as Department Facility Representative (DFR) for keys and space assignments * Act as backup for distribution of inventory items and precious metals to lab users * Respond to various data requests from PI's, department accountants * Attend CSE Administrator meetings, and other College meetings as appropriate Qualifications Required Qualification: * BA/BS and two years of related experience, or combination of education and related experience to equal six years Preferred Qualifications: * Previous experience working within PeopleSoft EFS and HRMS * Previous experience supervising full-time staff * Expertise with Microsoft Excel and Google Sheets About the Department The Minnesota Nano Center's mission is to support the fabrication, synthesis, and characterization of nanoscale devices and materials for both academic and industrial users.
