Position Overview: This position is responsible for implementing and managing general operations of the Entomology Department. The position supports department operations, including administrative support to the Department Head, faculty, staff and other employees; administers space, equipment, and finance; and supervises office staff. This individual helps the Department execute its mission while maintaining compliance with university policies. The position works in partnership with college and university units that support the Entomology Department including Academic Programs, Advancement, Facilities, Finance, Human Resources, Information Technology, Student Services, and others. Administrative & Office Support (45%) Provides a point of contact and administrative support for all members of the department. Develops and oversees department administrative services and support functions in collaboration with collegiate and university units. Attends relevant college and university committee meetings. Prepares VISA (H and J) documentation in collaboration with UMN's International Student and Scholar Services. Processes and manages volunteer requests and agreements. Coordinates the search processes for new faculty hires. Manages the processes related to annual reviews of researchers, postdocs, and staff. Prepares and gathers materials for ad hoc special projects. Assists with organization of retreats and annual department social and outreach events. Ensures university and collegiate policy compliance and documentation. Assists labs as liaison with Risk Management and real estate with contracts and insurance certificates. Department Head Support (25%) Gathers and organizes faculty activity reports and related materials for annual review of faculty performance. Manages the appraisal of probationary faculty process and the four-year reviews for associate professors including preparations of UM 12 and UM 13 forms. Assists with promotion and tenure processes for faculty. Manages the faculty preparation and submission of new projects, annual reports and final reports for Minnesota Agricultural Experiment Station projects (MAES). Organizes faculty meetings and other meetings for the Department Head. Space and Equipment (10%) Prepares annual department equipment inventory reports. Conducts short- and long-term building space needs analyses. Prepares departmental space management reports and lab space audit documentation, as needed. Fiscal Management (10%) Meets monthly and monitors department accounts in collaboration with the CFANS finance team and the Department Head. Assists with processing student scholarships and awards. Conducts regular audits of department payroll to ensure consistency with employee appointments and their associated payroll distributions. Meets monthly and monitors UMF Entomology funds in collaboration with the CFANS Development and the Department Head. Supervision (10%) Supervises and mentors one or more front office staff. Qualifications Essential Qualifications: BA/BS or a combination of related education and work experience to equal 4 years. Demonstrated effective communication skills on multiple levels including, person-to-person, on the phone, via email. Demonstrated commitment to inclusive practices and equity. Ability to work collaboratively with others to address and resolve problems. Proven ability to multitask, prioritize and manage work. Experience with Microsoft Office suite. Preferred: A minimum of 2 years' administrative experience. About the Department Department Overview: The Depa tment of Entomology in the College of Food, Agricultural and Natural Resource Sciences (CFANS) is located on the St Paul campus of the University of Minnesota. It is composed of 16 faculty and 40 staff engaged in research, teaching, and extension related to biodiversity and systematics, ecology, physiology, neurobiology, and functional genomics of diverse insects and other invertebrates, including pollinators, mosquitoes and ticks, and management of pests in residential, commercial/industrial, agricultural, forested, and urban landscapes.
