LOCATION: Milan, Italy
REPORTS TO: General Manager ADP Southern Europe
JOB PURPOSE: The Executive Assistant supports the General Manager in the management of his/her activities, with responsibility for both organizational and executive character, support and assistance.

KEY RESPONSIBILITIES:
Internal focal point for the GM
External point of contact for clients and all other business functions
KEY DUTIES/TASKS:
Managing the GM's agenda
Arranging appointments, reservations, travel.
Providing to GM ad hoc documentation on specific request
Ongoing support by acting as a point of contact between the different business areas (Finance, Sales, Legal, HR, Communications, Operations)
Arranging meetings, conferences, and any preparations and organizational aspects for these events
Managing correspondence incoming and outgoing
Working closely with HR and/or Communications to prepare company releases and events
Making contacts of a sensitive, complex, confidential nature on behalf of the executive
Substantial contact with internal/external individuals at all levels
KNOWLEDGE AND SKILLS:
Knowledge required:
Italian language - fluent both written and spoken
English language - fluent both written and spoken
Spanish language - would be an advantage
Good computer skills
Skills required:
Effective listening and verbal communication skills
Ability to handle matters that are highly confidential
Sense of urgency
Time commitment and accuracy
Must be assertive, creative, and be able to work independently and anticipate and address issues in the executive's absence
Must be innovative and make substantial individual judgments and recommendations
Must be able to work with associates in multiple roles and with all levels including senior management.
Must effectively work in a fast-paced environment
Able to multi-task and prioritize as necessary
EDUCATION AND EXPERIENCE:
Diploma languages or Economic studies
Previous experience in similar roles
Acquired a significant and extensive experience in the role of organizational contexts within multinationals
