SUMMARY OF THE JOB :
The Legal Executive Assistant (LEA) reports to the General Counsel (GC) and assists in the administrative and operational support functions for the GC and the Legal Group. The successful LEA is a team player who encourages relationships with multi-functional internal/external business partners. The incumbent must maintain the highest possible standards of professionalism, confidentiality, accuracy, integrity and business acumen at all times.
ESSENTIAL FUNCTIONS:
Performs administrative and duties for the legal team currently comprised of three attorneys and a paralegal including preparation and processing of internal and external correspondence, ordering office supplies, scheduling of appointments and meetings, planning travel arrangements, screening and routing telephone calls and inquiries to proper person/area, and providing meeting and conference support.
Oversees and coordinates critical items for GC’s attention, and delegates matters to others for action.
Coordinates and attends various meetings, prepares minutes and supporting documentation, including Board level support.
Maintains effective communications with employees, vendors, and clients of the Bank to facilitate information exchange and problem resolution.
Financial responsibilities including Requisition & Purchase Order creation, expense report and invoice processing on behalf of Legal Group.
Track attorneys’ completion of continuing legal education requirements.
Maintains paper and electronic files.
Communicates information and instructions on behalf of the GC.
Supports Legal team members as needed.
Prepares slides and graphs using presentation software.
Manage Service Now legal portal.
Other related duties as may be required.
PRINCIPAL ACCOUNTABILITES:
Administrative
Provides professional administrative services insuring confidentiality of corporate/legal matters.
Customer Service
Ensures that customers, clients, and employees receive quality customer service in response to inquiries and problem resolution.
Meetings/Special Events
Plans and coordinates meetings and special events in an organized and efficient manner.
Records and Files
Maintains accurate and current corporate records and files.
MINIMUM REQUIREMENTS:
Education: Associate or bachelor’s degree in business administration or related field preferred, or equivalent work experience
Experience: Minimum of five years’ experience supporting C-Level Executives, preferably in the banking industry/legal environment.
Expert level written and verbal communication skills
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders, including
staff, board members, the executive and senior staff of the Bank, particularly the Office of the GC, and external partners.
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Highly resourceful team-player, with the ability to also be extremely effective independently
Proven ability to handle confidential information with discretion, be adaptable to various
competing demands, and demonstrate the highest level of customer/client service and responseDemonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
Forward looking thinker, who anticipates issues or concerns and actively seeks opportunities and proposes solutions
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat
Preferred Requirements:
Experience processing subpoenas
Familiarity with wage garnishment processes
General knowledge of banking industry and legal office administrative needs
