Sony Pictures Entertainment Production and Asset Management Coordinator in Miami, Florida

General Summary:

Production & Asset Management Coordinator is responsible for tracking and organizing the day-to-day workflow of all assets and documents created during the different stages of the production such as schedules, data entry, storing of Assets in various systems of Sony Pictures Television, maintain all statistical analysis reports of Scripted and Unscripted series for Assets management, quality control comparative and projection proposes.

This position ensures that all assets that have been collected and organized are efficiently delivered as required and outlined in the Latin American Assets Deliverables List and the Delivery Requirements list for each series sold according to each client techs specs in the region.

This position reports to the Production and Asset Management Executive Director in Miami office.

Responsibilities:

50% Maintain materials up to date in the Sony’s Repository system.

  • Ensure all development materials are updated in the System.

  • Make sure all assets are available in accordance to Post and Assets plan per project.

  • Receiving, reviewing, defining, and archiving all finalized assets in their respective repository systems (Scenechronize, Runner, Sony Ci Media Cloud, Smartsheet).

  • Maintain ONE STOP link updated to access final assets for internal stakeholders and material availability to provide immediate links to each asset within our Sony’s internal archiving system (Scenechronize, Runner, Ci, Connect) for the production, sales, distribution, and marketing teams to have visibility.

  • Keep all related current information updated within the Lat Am slate report.

  • Update media content assets deliverables by maintaining project trackers and ensuring deliverables are conformed to current Sony technical specifications, global requirements, and naming conventions to be properly archived.

  • Set up and attend Production teams weekly meetings to coordinate delivery of all required assets during the production stage of each project.

  • Tracking and migration of Assets from Sony Ci Media Cloud system and share drives.

  • Take inventory of files in Share drive and Sony Ci media Cloud.

  • Keep all current information updated related to the Lat Am slate report.

  • Assisting production teams with archival images and video requested for use on set or during postproduction stage.

  • Keep updated all reports requested such as, but not limited to, repository reports, client delivery reports, production slate reports. i.e. Project check list, The Deliverables report per project, Music inventory report, The Client delivery report.

  • Maintain Latin America productions monthly status reports.

35% Provide a high level of internal and external service, including prompt, helpful and proactive clarification of issues and status.

  • Ensure the Sony Pictures Connect site remains updated with current production materials for sales purposes. Collect and provide Digital Asset Management team in LA required assets for ingest into Connect for all library and new titles.

  • Allow viewing access of essential assets to distribution teams via Connect link.

  • Provide a high-level customer service, including prompt, helpful and proactive clarification of issues and status.

  • Create the folder space within Sony Ci Media Cloud per projects for Content, Post and Marketing teams.

  • Coordination with vendors quotes, timelines, techs specifications, reception and archiving of all language assets and processes for production according to the client’s needs (Subtitle, Dubbing, CC files, Audio Description Files).

  • Keep all Master File Lists updated for future client’s deliveries.

  • 15% Support all Special Projects as required

  • Create and provide production assets statistics.

  • Assist with preparation work for all virtual screening events per production.

  • Assist with Administrative duties as assigned.

Knowledge/Skills/Abilities:

  • Strong ability to manage several projects, all in varying stages of the process

  • Able to prioritize well and meet strict deadlines

  • Flexible individual who is effective working in a team, as well as independently

  • Strong communication and interpersonal skills

  • Understanding and respect for different cultures

  • Fluency in reading, writing and speaking Spanish and English.

  • Good working with systems; Proficient in PPT and Excel (analysis of production data/statistics);

  • Solid understanding of the production process

Experience: 2 + years administrative support and/or TV Production experience

Education: Bachelor’s degree.
