The Pathology Department at the University of Miami has an exciting opportunity for a Manager, Laboratory Services.

SUMMARY

Plans, develops, organizes, directs and controls the operation of the Histology, Accessioning, Grossing, Immunohistochemistry, Electron Microscopy, Florescent Microscopy, Cytology and Frozen Section Laboratories in collaboration with LabCorp. Helps oversee Pathology Customer Services and Clinical Coordinators. Contributes to meeting the mission and goals of the Department, as well as, requirements of all regulatory agencies. The manager works in a matrix collaborative relationship with the Executive Director of Laboratory Operations, Director of Anatomic Pathology, Vice Chair of Administration, and Chief of Pathology and Laboratory Medicine on all administrative and clinical matters

CORE JOB FUNCTIONS

  • Plans, prioritizes, and directs work activities to ensure smooth and efficient operations. Investigates and resolves problems concerning patient testing and procedures.

  • Assists with interviewing and selecting new staff.

  • Participates in the formal progressive disciplinary process.

  • Conducts, monitors, and evaluates the effectiveness of employee performance improvement plans. Participates in the design and implementation of new procedures and instrumentation.

  • Monitors quality control and assurance, and proficiency testing, and implements corrective actions. Coordinates and participates in continuing education activities and events.

  • Monitors employee compliance with approved regulatory and departmental guidelines.

  • Assists in developing the strategic goals and objectives for the section.

  • Develops, implements, and evaluates training programs.

  • Assists with the development of competency assessment tools.

  • Participates in the review, revision, and implementation of standard operating procedures. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.

  • Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS

Education:

Bachelor’s degree in relevant field

Certification and Licensing:

Possession of current Florida State Clinical Laboratory Supervisor license

Experience:

Minimum 5 years of relevant experience

Department Specific Functions

  • Core job function will also include ensuring SOPs follow relevant rules and regulations such as the FDA, CLIA, state testing requirements, Joint Commission, etc., managing FDA reportable events, errors and deviations, performing self-inspection, and auditing, educating clinical team, reviewing and investigating safety events.

  • Responsible for operational efficiency and excellence within the laboratories to ensure timely, quality services within applicable policies and procedures and professional standards.

  • Develops and maintains effective quality assurance programs for laboratory services., customer care and clinical coordinators.

  • Maintains appropriate record keeping systems for each area of responsibility.

  • Follows established safety standards and enforces them throughout the laboratories., customer care, and clinical coordinators.

  • Develops and maintains laboratory, customer care, and clinical coordinator productivity measurements and recommends adjustment of resources as necessary. Establishes standards of performance for training and competency of staff.

  • Responsible for effective human resource management of UM employees and works in collaboration with LabCorp personnel. Maintains or recommends appropriate staffing within budget and to meet workload requirements. Participates in the selection of qualified employees.

  • Consistently and fairly interprets and enforces human resources policies for UM employees, including UM employee disciplinary procedures.

  • Conducts effective and timely employee performance appraisals.

  • Ensures training for employees, including hospital and department orientation. Organize and implement ongoing in-service and professional development training opportunities for staff.

  • Ensure that all staff licensure requirements are in place in accordance with hospital, government, and regulatory agency requirements.

  • Responsible for Anatomic Pathology Laboratories compliance with all regulatory requirements, and helps ensure maintenance of C.A.P. (College of American Pathologists) and JACHO accreditation.

  • Helps determine staffing requirements. Makes recommendations for FTE and overtime budgets, volume budgets and operating budget to support all UM Anatomic Pathology operations.

  • Monitors spending trends and utilizes financial resources within established budget.

  • Investigates and suggests to senior management alternatives to the established budget. Recommends cost savings or revenue generation through innovative methods.

  • Manages UM capital assets of Anatomic Pathology. Participates in the developing long-term plan for technology needs to advise senior management for capital planning. Presents business and patient services rationale for new technology requests.

  • Positively interacts with internal and external customers and service providers to promote a cooperative environment.

  • Responsible for communication within the Division of Anatomic Pathology and the Department. Convey information clearly in written and verbal forms. Holds regularly scheduled staff meetings with minutes as well as disseminates information in manners appropriate for department needs.

  • Demonstrates ability to implement problem-solving mechanisms in response to complaints received and to resolve interpersonal or professional conflicts.

  • Consistently demonstrates tact, courtesy, and positive attitude in communication and interaction with other employees, visitors, physicians and patients.

  • Responsible for professional development. Attends hospital management training. When appropriate. Maintains appropriate knowledge of developments in the laboratories and related areas by remaining active in professional associations and meetings.

  • Reviews department manuals annually and updates as needed.

  • Serves as laboratory Safety Officer. The Safety Officer serves as a resource for ensuring safe practices in the area as well as serves as a role model for safety. The SO is involved in implementing and following guidelines for compliance with accrediting agencies such as OSHA, DOT, EPA, ANSI, CAP and the Joint Commission and with quality assurance and improvement procedures in the Safety area.
