Robert Half Facilities Administrator in Miami, Florida

Description

We are offering a contract to hire employment opportunity for a Facilities Administrator, who will provide administrative support in a dynamic environment with multiple priorities and assignments. The role is primarily based in Miami, Florida and requires a blend of skills in project management, coordination, and mastery of Microsoft Excel and other relevant software.

Responsibilities:

• Provide support to the Facilities Department through various administrative tasks, ensuring compliance with established procedures.

• Assist in routine procedures, processing requirements, and record-keeping.

• Coordinate and meet with project-related personnel for special projects, requests, or procurement purposes.

• Manage document coordination between various departments and external parties.

• Assist in calendar management and schedule meetings, including agenda preparation, logistics organization, and drafting of meeting minutes.

• Assist in the procurement of goods and services, including researching, soliciting estimates, quotes, and bids, and processing procurement paperwork.

• Reconcile credit card statements and manage data in spreadsheets and Computerized Maintenance Management Software (CMMS).

• Manage documents and files, including drafting, updating, copying, printing, scanning, reviewing, and distribution.

• Manage information related to inventory, assets, warranties, and protection plans.

• Develop and update standard operating procedures related to departmental administration.

• Lead various special projects as assigned.

• Assist with disaster preparation, response, and recovery as needed.

Requirements • Minimum of 3 years of experience in a similar role as a Facilities Administrator

• Proficiency in Microsoft Excel, including Excel VBA and Excel Formulas

• Familiarity with CMMS (Computerized Maintenance Management Systems)

• Experience in legal documentation particularly related to facilities management

• Excellent coordination skills for managing facilities-related tasks and projects

• Proven project management skills, with a focus on overseeing maintenance and repair initiatives

• Ability to coordinate meetings, prepare agendas, and record meeting minutes

• Demonstrated experience in agenda preparation and creating agendas for meetings

• Must have legal authorization to work in the country of employment.
