Description

Are you an experienced Executive Assistant who thrives in a fast-paced environment? Robert Half is partnering with a respected company in the Miami area to find a highly skilled Executive Assistant to support senior management. This long-term contract/temporary-to-hire role offers the chance to showcase your organizational and communication expertise while contributing to a successful executive team.

What You’ll Do:

  • Provide comprehensive administrative support to executives and senior leadership.

  • Manage executive calendars, schedule meetings, and coordinate appointments.

  • Arrange complex travel itineraries, including flights, accommodations, and transportation.

  • Prepare, proofread, and edit reports, presentations, and correspondence.

  • Screen and prioritize phone calls, emails, and incoming requests.

  • Maintain and organize confidential executive files and records.

  • Assist in preparing and reviewing critical documents and reports for decision-making.

  • Serve as the key point of contact between executives and internal/external stakeholders.

  • Handle administrative tasks like expense reports, budget tracking, and scheduling.

  • Help plan and coordinate company events, meetings, and conferences.

  • Conduct research and gather data for executive decision-making and presentations.

  • Prioritize multiple tasks and deadlines, ensuring smooth day-to-day operations.

  • Identify ways to streamline processes and improve organizational efficiency.

  • Support special projects and perform ad hoc tasks as needed.

  • Uphold a positive and professional image of the executive office at all times.

    Requirements

Qualifications:

  • Bachelor's degree or equivalent experience preferred.

  • Bilingual in Spanish is a plus.

  • Proven track record as an Executive Assistant or in a similar administrative role.

  • Proficiency in Microsoft Office Suite and other office software tools.

  • Strong organizational and time management skills, with a keen attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to handle sensitive and confidential information with professionalism and discretion.

  • Strong problem-solving skills and adaptability in a fast-changing environment.

  • Flexibility to handle shifting priorities and a dynamic work environment.

  • Exceptional interpersonal skills, with the ability to work effectively with senior leaders and colleagues.
