Robert Half Event Planner Intermediate in Miami, Florida
Description We are offering a contract to permanent employment opportunity in the event planning industry, located in Miami, Florida. We are seeking an Event Planner Intermediate to join our team. This role involves planning events ranging from small gatherings to large-scale events, and collaborating with various internal business departments. The selected candidate will be expected to work in the office five days a week.
Responsibilities:
• Plan and coordinate events that can range from 10 to 500 people, ensuring that each event is executed smoothly and meets the intended objectives.
• Lead the project management efforts, including the creation of detailed project plans and budgets.
• Collaborate effectively with senior and middle management, as well as customers.
• Provide strategic input and recommendations on event development to the business group.
• Maintain relationships with internal business partners in departments such as Food Services, Conference Services, Audio Visual, Security, and Facilities.
• Manage all aspects of events, including internal consulting, proposal development, site selection via RFP process, vendor negotiation, and contract administration.
• Oversee logistics coordination, menu selection, setup, decor, audio visual arrangements, and creative writing for event invitations.
• Coordinate printing, registration management, coordination of speakers, giveaways, entertainment activities, and travel staff. Requirements • Demonstrated proficiency in Customer Service, with a focus on maintaining positive client relationships and resolving issues promptly
• Prior experience in Management, including leading teams, delegating tasks, and overseeing projects to completion
• Strong Planning skills, with the ability to organize and schedule events efficiently
• Knowledge of Budget Processes, including creating, managing, and adhering to event budgets
• Proficiency with 'About Time' software for time tracking and project management
• Logistics expertise, including coordinating event details and managing event setup and breakdown
• Understanding of Security measures necessary for event safety and risk management
• Consulting skills, with the ability to provide valuable advice for event planning and execution
• Familiarity with website design and management, specifically related to event promotion and registration
• Facility management experience, including venue selection and setup
• Willingness to Travel as needed for event planning and execution
• Graphic Design skills for creating promotional materials and event decor
• Experience with Printing processes for event materials
• Strong Coordination abilities, including managing multiple tasks and stakeholders simultaneously
• Experience working with Business Partners and coordinating their involvement in events
• Project Planning skills, with the ability to oversee an event from conception to completion
• Knowledge of Contract Administration, including negotiating and managing contracts with vendors and venues
• Familiarity with Facets of marketing promotions and how to effectively use them in event planning
• Creative Writing skills for crafting engaging event descriptions and promotional materials
• Experience with Audio Visual equipment and technology for event presentations and entertainment
• Understanding of Attrition management in event planning
• Proven success in Vendor Negotiation, with the ability to secure quality services at competitive prices
• Experience in Proposal Development and the RFP Process, with the ability to create compelling proposals for event services.
