Job Title: Executive Assistant to the President

Job Summary: We are seeking a highly skilled and experienced Executive Assistant to support the President of a large non-profit organization. The ideal candidate will have over 5 years of experience supporting C-level executives, possess top-tier technology skills, and demonstrate exceptional organizational and interpersonal abilities. This role requires managing extensive travel arrangements, acting as a liaison to the Board of Directors, and overseeing the office of the President, including 1-2 other employees.

Key Responsibilities:

Executive Support:

  • Provide high-level administrative support to the President.

  • Anticipate the needs of the President and proactively bring together appropriate people and resources to support the executive in addressing issues.

Travel Management:

  • Coordinate and manage extensive domestic and international travel arrangements.

  • Secure visas and other necessary travel documentation in a timely manner.

Office Management:

  • Oversee the daily operations of the President's office.

  • Supervise and manage 1-2 office employees.

Board Liaison:

  • Act as the primary liaison between the President and the Board of Directors.

  • Prepare materials for board meetings and ensure timely communication.

Calendar Management:

  • Manage a complex and frequently changing calendar.

  • Schedule and coordinate meetings, appointments, and events.

Interpersonal Skills:

  • Demonstrate exceptional interpersonal skills, with the ability to communicate effectively at all levels of the organization.

  • Maintain a high level of professionalism and confidentiality.

    Requirements

Qualifications:

  • Must have 5+ years of experience supporting C-level executives.

  • Proficient in the latest technology and office software.

  • Extensive experience in managing domestic and international travel arrangements.

  • Proven ability to secure visas and other travel documentation.

  • Strong organizational skills with the ability to manage multiple priorities.

  • Excellent communication and interpersonal skills.

  • Demonstrated ability to anticipate the needs of an executive and act proactively.

  • Experience in managing a small team and overseeing office operations.

Preferred Qualifications:

  • Bachelor’s degree in Business Administration or a related field.

  • Prior experience in a similar industry or corporate environment.

  • Familiarity with board governance and meeting protocols.
