Summary This position provides administrative, and liaison support to Occupational Health Program which includes all new employee and existing employees at the VA Memphis Medical Center. Responsibilities Major duties and responsibilities include but are not limited to: Incumbent performs a wide variety of clerical tasks associated with maintaining and supporting the work performed within the organization. Receives and processes all correspondence, updates schedule, assists agency and persons outside the agency, patients and visitors, referring visitors, or providing information about the office, its functions, and standard operating procedures (SOP), as well as similar information. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Performs office automation duties integrates several types of software to generate specific working documents and forms such as spreadsheet, database, word processing, desktop publishing graphics, and other similar products Acts as timekeeper for the service. Obtains and monitors the use of services, supplies, or equipment for the offices. Maintains and schedules appointments for employees with the Occupational Health Physician, coordinates meetings, and/or schedules conferences. Serves as focal point for systems to track office assignment to ensure timely reply or actions, and to ensure that deadlines are met. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/16/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience requirements, you must be able to type at least 40 words per minute. Applicants may meet these requirements by self-certifying their proficiency. You should be aware your self-certification of possession of this skill is subject to evaluation and verification. You will be rated on the following Competencies for this position: Clerical Customer Service (Clerical/Technical) Health Information Exchange Written Communication Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: No special physical demands are required. The work is primarily performed while sitting.
