Job Title: Benefits Specialist

Job Description

The Benefits Specialist assists in the administration of employee benefit programs, including medical, dental, vision, disability, life insurance, and optional benefit plans for employees. The specialist handles benefits inquiries and complaints, ensuring quick, equitable, and courteous resolutions. They work closely with medical service providers, assist with annual benefits open enrollment, and present benefits during new hire orientations. This role also involves entering new hires into benefits databases, updating benefits information, and facilitating life insurance death benefit processing and long-term and short-term benefits claims.

Responsibilities

  • Assist in the administration of employee benefit programs, including medical, dental, vision, disability, life insurance, and optional benefit plans.

  • Handle benefits inquiries and complaints to ensure quick, equitable, and courteous resolution.

  • Work closely with medical service providers to stay updated on benefits offerings and obtain necessary benefits collateral pieces.

  • Assist the Benefits Manager with annual benefits open enrollment from planning to final implementation.

  • Present benefits during new hire orientation and ensure all NHO benefits materials are ready and available for new hires.

  • Track benefits enrollment status for all new hires.

  • Enter new hires into benefits databases and applicable HR systems.

  • Serve as the key point of contact for all benefits entries in the new HRMS system implementation.

  • Create new hire benefits and medical folders.

  • Update benefits information in all applicable systems, including additions, deletions, changes, and other transactional activities.

  • Work with Payroll to ensure deductions for benefits are correct and corrected when errors occur.

  • Facilitate life insurance death benefit processing and long-term and short-term benefits claims.

  • Reconcile and process payment for all benefits-related invoices.

  • Pull reports, especially monthly new hires and terms and weekly headcount, and provide analysis to senior management as requested.

  • Help organize, plan, and schedule various company wellness events.

  • Engage in strategic thinking to determine the best and most cost-efficient way to deliver services to employees.

  • Ensure work is compliant with all applicable city, state, and federal laws.

Essential Skills

  • Minimum of 5 years of progressively responsible experience in human resources, particularly in benefits.

  • Bachelor’s degree in Business Administration or a related field preferred. Overall experience may be considered in lieu of advanced education.

  • SHRM-CP or PHR designation is desirable.

  • Good oral and written communication skills.

  • Strong organizational and analytical skills.

  • Proficiency in Microsoft Office Suite for creating and delivering presentations.

  • Good working knowledge of ADA and HIPAA.

  • Ability to handle numerous activities simultaneously.

  • Effective in formal presentation settings: one-on-one, small and large groups.

  • Diplomacy and tact in handling high-tension situations.

  • Dedication to exceeding internal and external customer expectations.

  • Experience with a unionized workforce is preferred.

  • Ability to communicate effectively with senior management.

  • Proven ability to handle controversial or confrontational situations with courtesy, diplomacy, and tact.

Additional Skills & Qualifications

  • Some familiarity with pension to liaise with the pension team on pension benefits and calculations.

  • Experience in COBRA processing and maintenance of activities related to the company's FSA program.

  • Ability to assist with hiring events.

  • Regular and consistent attendance.

  • Ability to maintain utmost confidentiality.

Work Environment

This position requires working onsite within an office environment. The role involves collaborating with various departments, including Payroll and Finance, and participating in company wellness events. The specialist must ensure compliance with all applicable city, state, and federal laws, and maintain a service-oriented attitude while handling benefits inquiries and processing claims.

Pay and Benefits

The pay range for this position is $30.00 - $30.00
