Looking for an exciting start to the year? AECOM is hiring a Group Coordinator for our Transport team in Melbourne! Bring your energy and experience to this rewarding role, where you’ll help our managers and teams run smoothly while making a real difference key business line.

As a Group Coordinator, your primary role will be to provide executive assistance, group coordinator and administration support to the Group Director in Melbourne, alongside leadership team and wider business leaders.

Job Description

  • Work closely with the Group Director to organise and schedule meetings, set up equipment, manage agendas, and assist with presentations for conferences and internal meetings.

  • Coordinate and schedule client meetings and events, acting as the primary coordinator for internal and client functions, including catering arrangements.

  • Manage expenses and invoices, support project cost planning, and provide weekly debtors reporting.

  • Assist in business reporting processes, including monthly, quarterly, and annual reports, as well as project reporting.

  • Support project setup in Workbench, manage the project cost planner, and ensure weekly updates.

  • Arrange travel and accommodation for the leadership team, ensuring compliance with company policies and guidelines.

Qualifications

  • Strong organisational and time management skills with the ability to prioritise tasks effectively.

  • Excellent problem-solving skills, business intuition, and adaptability in a fast-paced environment.

  • High attention to detail paired with strong interpersonal and communication skills.

  • Energetic, proactive, and driven, with a passion for delivering exceptional support.

  • Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
