Mondelēz has six manufacturing plants in Australia. This position looks our Gourmet Food manufacturing site in Dandenong South, however flexibility in your work location with our other Sites. The plant makes one of the largest and diverse range of premium cracker products under one roof globally, our new state of the art production facility provides both the flexibility and scale to remain relevant with our important retail partners. Manufacturing brands such as Olina's Bakehouse, OB's Finest and Crispbic, Gourmet Food is fast becoming recognised as the ‘entertaining’ specialist.

Gourmet Food has an exciting and diverse opportunity to join our Site team as Export Coordinator, with flexibility to work from any of our Sites.
This role is responsible for the Export process across key areas of managing the Export logistics / order process, Sales Reporting, Stock Management (including USA and UK Warehouses) and controlling promotional programs and point of sale.
A large part of this role is managing significant administration requirements of the US market and playing a vital role being the link between the Export Sales requirements and the production team.
Other duties will include dealing with Sales tasks such as, new customer account set ups / paperwork, general customer enquiries, product information, samples, packaging, and labelling requirements for all Export Markets and ad hoc requests to assist the Export Manager. Plus supporting accounts receivable in following up outstanding customer accounts and assisting in reconciling payments and customer claims / deductions.
How you will contribute:
Export Logistics / Sales Orders
Responsible for ensuring the order processing and invoicing to over 30 USA customers, over 15 UK customers and Other Export customers.
Entry of sales orders into MYOB / converting sales orders into invoices once dispatched in MYOB.
Arranging the logistics for export orders to meet customer requirements, while liaising with the Mondelez International freight management team, freight forwarders and the GF production team, to ensure all aspects align.
Track all shipments until arrival at destination and confirm receipt
Responsibility for liaising with Mondelez team to obtain freight rates for all markets.
Ensure that all orders are shipped in a cost-effective method
Approval of all Freight invoices
Sales Reporting
Responsible for weekly reporting to Export Manager
Responsible for regular reporting to USA / UK Sales Managers and team
Regular monthly reporting of Promotional Spend for Export
Stock Management USA
Manage USA SOP- updating weekly demanded vs actual sales
Liaise with Supply Planner to schedule container orders ensuring US / UK stocks meet current demand and seasonal demand
Liaise with Demand Planner to help manage US / UK SKU’s ensuring any overstocks or out of stocks are highlighted to Export Manager and US/UK Sales Managers
Report any stock approaching short shelf life and manage any sell offs
Customer Support
Answer any customer general inquires
Provide support & customer service to all Export accounts
Ensure Broker commission reports are updated and processed monthly
Follow up on all paperwork requirements, including insurance, business certificates, applying for and issuing Export Certificates (Via VECCI)
Following up on outstanding customer accounts and assisting in reconciling payments and customer claims / deductions.
Notify & follow up on price changes / discrepancies with finance team
Assisting Export Manager on managing new private label set up and logistical process in all export markets
Promotional Management
Track and manage the USA promotional planner, keeping up to date records of export promotions
Measure promotional allowances against claims received
Dispute and approval of USA customer deductions / claims
Market Support
Keep Export Manager informed of any changes to Export procedures or regulations globally
Provide up to date information and assist USA / UK Sales managers
Review and complete contracts / promotional applications / new account set up documentation for Export Manager
Arrange marketing materials for USA Trade Shows (when applicable)
Processing samples worldwide
Manage all EDI services
Manage vendor portals / passwords
Manage USA FDA registration and keep FDA updated with changes to company information
What you will bring:
Experience, Skills, Knowledge
Passion for meeting customer requests and requirements
Good understanding of business principals, for the export market demands, finance and customer specific issues
Understanding of regulatory and compliance requirements for export markets
Ability to present, communicate and negotiate with all levels of management across all GF’s departments
Ability to communicate with customers on commercial, market development and sales related issues and new product initiatives
Basic understanding of the relevant regulatory and compliance requirements including export requirements
Excellent attention to detail
Good verbal and written communication skills.
Good computer skills
Effective time management and planning skills
Results focussed and have a genuine passion for market
Ability to work autonomously and effectively in a team environment

Education, Qualifications, Training
Relevant tertiary qualification in International Trade
Formal training in Intentional Trade (Export Focus)
At least 10 years’ experience in a similar role
Work schedule:
Full time position however open to 4 days a week if required for the right Candidate.
Flexibility to work from any of our Sites - Dandenong South, South Melbourne or Ringwood
No Relocation support available
