Description
We are offering a contract-to-hire employment opportunity for a Receptionist in McLean, Virginia. As a critical part of our team, the Receptionist will handle a variety of duties including managing incoming calls, maintaining office supplies, and providing excellent customer service. This role is key to maintaining the smooth operation of our office and creating a welcoming environment for our clients. Responsibilities:
• Serve as the first point of contact for clients, greeting them in a friendly and professional manner
• Handle incoming calls, route them appropriately, and take detailed messages when necessary
• Keep the snack room well-stocked and tidy
• Organize, sort, and distribute incoming mail efficiently
• Monitor office supplies and reorder when necessary to ensure uninterrupted office operations
• Assist in managing the copier, ensuring it is stocked with toner and paper
• Address and send mail via FedEx as required
• Assist in maintaining accurate customer records and processing customer applications
• Handle general administrative tasks as needed to support the smooth operation of the office
• Act as the general eyes and ears of the firm, contributing to a positive and professional first impression of the firm.
Requirements • Proficiency in performing Receptionist Duties and Office Administration tasks
• Experience with Multi-line Phone Systems and Phone Operations
• Ability to Direct Incoming Calls and Handle Inbound Telephone Calls
• Knowledge in managing Phone Lines and ensuring Phone Coverage
• Skills in Sorting, Distributing, Forwarding, and Delivering Incoming Mail
• Certification or experience in handling Certified Mail
• Ability to Direct Mail and Route Incoming Mail
• Familiarity with Phone Messages and Phone Voice operations
• Experience with Phone System and Answering Multi-Line Phone System
• Capability to Assist Customers effectively and promptly
• Experience or knowledge in law office operations and legal documentation handling
• Ability to handle tasks related to Route Incoming Call
• Experience in handling, sorting, and delivering mails
• Excellent communication and interpersonal skills
• Ability to maintain a professional demeanor and provide high-quality customer service
• Strong organizational skills and attention to detail
• Proficiency with computer systems and software, such as Microsoft Office Suite
• Ability to handle confidential information with discretion.
