Department Summary:

The MITRE Labs Sector Office is seeking an Operations Coordinator to join our team. Working in close coordination with MITRE Labs Sector Office, the Operations Coordinator will assist in the organization and execution of the core functions of Operations, Engagement and Program Development.

Roles & Responsibilities:

  • Performing administrative tasks, such as meeting coordination, submitting purchasing requisitions, administering data calls, etc.

  • Working with department heads to learn departmental needs and goals and assist with the management of daily operational activities

  • Supporting multiple indirect projects by managing, facilitating, and serving as Clarity delegate for project-related staffing, allocation management, budgeting, and any related integration, coordination, and communications activities

  • Interacting with the operations and administrative support teams to be a liaison within MITRE Labs and to HR and Finance, to enable the day-to-day business operations and recurring business activities.

  • Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made

Basic Qualifications:

  • Minimum of 5 years of related experience with a Bachelor’s degree; or 3 years and a Master’s degree; or equivalent combination of related education and work experience.

  • Proven experience in performing administrative tasks, such as coordinating meetings, submitting requisitions, and handling data calls.

  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

  • Experience working with department heads or managers to understand departmental needs and goals.

  • Ability to assist in managing daily operational activities and aligning with departmental objectives.

  • Demonstrated ability to support and manage multiple indirect projects, such as tasks like staffing, allocation management, and budgeting.

  • Experience with project management tools and methodologies, such as Clarity or similar project management software.

  • Strong interpersonal skills for interacting with various teams, including operations, administrative support, HR, and Finance.

  • Effective communication skills for serving as a liaison and facilitating coordination and integration activities.

  • Experience in observing, reviewing, and analyzing processes to identify inefficiencies.

  • Ability to recommend and implement improvements to enhance operational efficiency.

  • Strong analytical skills to evaluate processes and identify areas for improvement.

  • Creative problem-solving abilities to address operational challenges and enhance efficiency.

  • Demonstrated experience with Microsoft products including OneDrive, Teams, SharePoint Online, OneNote, Excel, and PowerPoint.

Preferred Qualifications:

  • Previous experience in operations, high-level administrative support, or human resources

  • Proven track record of streamlining processes or reducing waste in previous roles

  • Experience working with Salesforce.com

  • Degree in business administration, management, or a related field
