Your Opportunity
We have an exciting opportunity for a Project Coordinator to join our Research Services team where you will provide essential support and play a crucial part in the successful execution of various projects and initiatives. Stantec’s Research Services team, as part of the Innovation Office, supports employees by providing resources for research, publication, academic collaboration, and related intellectual property management, enhancing project impact and technical expertise. They also assist with claiming research-related tax credits, offering financial benefits that contribute to Stantec’s growth and innovation.
Your Key Responsibilities
Fully understand the scope of our Research Services programs, including tax credit programs, eLibrary, and academic collaborations and support the program lead in these areas.
Communicate effectively with internal team members, leadership, financial and tax managers, consultants, and anyone at Stantec seeking support from Research Services.
Serve as a general liaison for team coordination and communication.
Assist the team with invoice processing, collaborate with Stantec’s tax and financial team to issue invoices promptly and follow up on outstanding invoices and monitor and track consultant invoices.
Process orders and support other team members with expense reports and timecards, if required.
Provide administrative support to Research Services team members as needed.
Compile, compose, type, and proofread correspondence and various other documents.
Prepare forms and reports, ensuring they are understandable, timely, and useful.
Accumulate, compile, consolidate, and edit data, checking document contents for accuracy.
Create and edit spreadsheets, letters, memoranda, etc., from drafts and general instructions.
Schedule meetings and coordinate travel, hotel workspaces, itineraries, and arrangements if required.
Attend meetings and work cooperatively with all team members to transcribe meeting notes.
Maintain project team directories, file emails, and communicate changes or process updates to the team both internally and externally.
Qualifications
Your Capabilities and Credentials
Proficient in MS Office, with advanced skills in MS Excel, Teams, and SharePoint.
Ability to learn new software systems.
Experience with Financial/Cost systems (e.g., Oracle) is preferred.
Possess a “can do” and “will do” attitude, taking charge of any assignment given.
Strong work ethic and willingness to go the extra mile.
Must be willing and able to take initiative when needed.
Experience working in a team environment and understanding the importance of being a team player.
Excellent written and verbal communication skills.
Self-motivated with the ability to prioritize and communicate with multiple groups.
High attention to detail is essential.
Strong organizational and time management skills.
Ability to prioritize and organize multiple concurrent assignments.
Adaptability and flexibility to learn new things and pick up tasks quickly.
Willingness to learn and accept feedback.
Basic understanding of accounting principles.
Prior work in a project coordinator/assistant role is a plus.
Extensive experience assisting management in day-to-day operations and project-related administrative tasks.
Ability to perform effectively under pressure in a dynamic and fast-paced environment.
Capable of performing repetitive tasks with a high level of proficiency and accuracy.
Experience should demonstrate sound judgment, the ability to multi-task, complete tasks in a timely manner, and work effectively under pressure.
Experience with data management, accounting, finance, or business is preferred.
Education and Experience
Bachelor’s degree preferred.
At least three (3) years of related project administrative experience or an equivalent combination of education and experience.
Experience working in the Engineering industry is a plus.
