Role and Responsibilities
Under limited supervision, performs administrative work in completing all phases of personnel functionality required to start and maintain NextStep at Endeavor Academys programs for adults with autism. This position is required to have a thorough understanding of office etiquette, inter-department communication, and be able to coordinate, direct and manage a high volume of requests. Work involves preparing all types of correspondence and reports, distributing mail, maintaining calendars and schedules, making reservations, establishing/maintaining the office filing system, making copies, and answering and routing phone calls. Additionally, work will also involve performing routine personnel (Human Resources) functions such as completing new employee, contractor, intern, and practicum student onboarding and outprocessing, ensuring compliance with state and federal employment law, serving as workers compensation coordinator, maintaining professional development records for staff and contractors, and managing volunteer applications and schedules. This position will also serve as the point of contact and liaison for campus operation, maintenance, and IT services. As needed, this position will also provide assistance for instructors and job coaches, as well as assistance in coordinating, planning, and facilitating social and community experiences for participants. This position will report directly to the Program Director.
Essential Job Functions
Schedule meetings with project team members and community collaborators including employers.
Respond to employment inquiries and schedule interviews.
Respond to parent inquiries and schedule meetings.
Prepare invoices and manage participant tuition payments.
Prepare annual contracts for approved contractors.
Review and process contractor invoices for payment.
Review and process utility and other invoices for payment.
Purchase supplies and equipment.
Process all purchases for payment; ensuring all purchases are made and processed in accordance with policy.
Organize outreach initiatives together with volunteer board members.
Coordinate property tours and events.
Facilitate outreach campaigns and initiatives including mailings.
Set up systems and office procedures.
Organize materials and communication for board and other meetings.
Prepare reports for Jackson County, grant administrators, and the board.
Build a data base with various segmentation and categories.
Assist instructors and job coaches as needed.
