Job Description:
Reporting to the Team Leader, the Administrative Assistant will be part of a team of long-term and short-term professionals supporting CDM Smith’s role as the Program Management Consultant for the Millennium Challenge Account – Mozambique’s (MCA) Connecting & Rural Transport Project (CTR). The Administrative Assistant will perform a variety of administrative duties in compliance with CDM Smith and MCA policies and procedures. Generally, the Administrative Assistant will be responsible for providing general administrative support to the office and its staff, under the direct supervision of the Team Leader, as described below.
General Responsibilities:
Receive visitors coming for arranged appointments, inform and direct them to the correct personnel.
Interact with outside visitors (clients, subcontractors, vendors, etc.) to convey information, to schedule appointments with the proper personnel and receive/transfer documents.
Ensure operation of telephones, copiers, scanners, and fax machines.
Provide photocopying, scanning, binding and general office assistance when required.
Assist administrative and technical staff with typing, formatting, filing, scanning, and dispatching letters, correspondence and reports.
Arrange and facilitate meetings, book and prepare meeting rooms
Preparation of meeting notes and meeting minutes.
Arrange hotel bookings for visiting local and expatriate staff.
Provide support to purchase equipment from local market.
Arrange and handle multimedia operations.
Distribute reading materials to participants of trainings, workshops, etc.
Inventory Responsibilities:
Reorder stationery and other office items in accordance with established minimum and maximum stock levels, projected usage and estimated date of delivery.
Verify receipt of stock ordered reconciling any discrepancies on invoices with vendors; compute unit prices for stock received and record all receipt and pricing information in inventory record book.
Inspect all received assets/materials for compliance with purchase order.
Maintain inventory/assets record.
Maintain security of stored items/material.
Prepare periodic inventory reports.
Documentation Responsibilities:
Maintain an efficient filing system allowing documents to be easily located.
Maintain project and administrative files in hard copy and scanned copy placed on project drive.
Handle all incoming and outgoing mail (including registration and distribution to staff).
Compile, maintain, and control records and related files to release drawings and engineering documents.
Maintaining project progress, deliverables and payment trackers.
Coordinate with document originators and/or intended recipients to resolve discrepancies and compile required changes to the documents.
Post changes to computerized and manual control records and release documents and notifications to staff.
Prepare requests for the reproduction of documents, reports and memorandums.
Prepare and distribute receipt acknowledgments for documentation
Project Description:
The Government of the Republic of Mozambique (GRM) and the Millennium Challenge Corporation (MCC) have developed a second MCC Compact for Mozambique, administered by the Millennium Challenge Account - Mozambique (MCA)
Among other activities, this Compact will support the transport sector in Zambézia Province through the rehabilitation and upgrading of sections of the N1 road and rural roads. Policy and institutional reforms (PIR) at the national and provincial level will contribute to improved performance in road and bridge management and improved, more inclusive, rural transport services. The activities will be carried out under the Connectivity and Rural Transport Project (CTR), which is a component of the second Compact. The MCA has selected CDM Smith to serve as the Project Management Consultant (PMC) to assist in managing all activities under the CTR Project.

Minimum Qualifications:
Minimum bachelor's degree with 4 years experience and trainings or equivalent combination of education and experience.
Excellent teamwork, communication, and interpersonal skills working with a variety of internal and external stakeholders
Able to work effectively with senior-level international and local staff, and to balance and prioritize multiple requests.
Ability to read and interpret documents such as letters, memos, transmittals in soft and hard form.
Experienced in handling complex tasks.
Effective office, clerical/secretarial, time management and organizational skills.
Computer literate. Well versed with Windows and MS Office suite.
Excellent communication skills in written and spoken English and Portuguese
Preferred Qualifications:
Experience within an international donor-funded program or consultancy environment is desirable
