YMCA of the North Event Manager in Maplewood, Minnesota

Job Description

  • Job Summary :

    The Event Manager is r esponsible for the sales, revenue and profits for events in the facility and manag ing the events and functions ensuring deadlines and budgets are adhered to. The incumbent d irects the coordination of activities to prepare for the event.

  • Essential Functions:

  • Generate sales, revenue and profits for the use of facilities for events.

  • Meet with and work closely with customers, leadership, sponsors and organizing committees to determine objectives and requirements for events, plan scope and format, establish and monitor budget and review administrative procedures.

  • Organize and m anage the details of events that may include but not limited to banquets, birthday parties, weddings, conferences, retreats, meetings, seminars, trainings, and committee meetings.

  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.

  • Evaluate and select providers of services according to event requirements.

  • Inspect event facilities to ensure that they conform to customer requirements.

  • Provide work direction to staff responsible fo r event coordination activities including custodial and maintenance staff.

  • Hire, train, and supervise staff on proper event procedures.

  • Book venues and negotiate fees.

  • R eview event bills for accuracy, and approve payment.

  • Maintain records of event aspects, including financial details.

  • Promote and market the facilities using flyers, cold calling, and social media.

  • Network , build and maintain strong relationships with the community .

  • Analy ze event performance and report metrics to management .

  • Relationships:

    This position reports to the Executive Director /Branch Director or Program Executive . The incumbent interacts regularly with the community, board committees, branch/camp management, staff and volunteers. The incumbent provides work direction to event planning staff, committees and volunteers.

  • Qualifications:

    Required

  • Minimum of t hree ( 3 ) year s of experience coordinating special events, fundraisers, or meetings preferably on behalf of a non-profit or mission-driven organization.

  • Minimum of one (1) year of sales /service experience with a proven track record of initiative, creativity and motivation to surpass sales goals.

  • Ability to negotiate prices for goods, services and facilities.

  • Experience giving work direction to staff.

  • Strong project management and organizational skills , attention to detail, and the a bility to manage multiple projects and work assignments simultaneously.

  • Strong verbal and written communication skills, including experience speaking to groups.

  • Ability to represent the Y with a high level of professionalism.

  • Capable of working independently and as member of a team.

  • Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work evenings and weekends when necessary.

  • Proficient in the use of Microsoft Office Suite (Word, Excel, PowerPoint).

    Preferred

  • Bachelor’s degree in a related field of study.

  • Multilingual

  • Work Conditions :

  • Ability to travel to various locations.

  • Ability to lift 50 lbs. to support event set-up and tear-down.

  • Ability to work 12+ hour shifts on event days and be on-call as needed.
