Functional Title: Benefits and Payroll AdministratorDepartment: Corporate OperationsReports To: Assistant Manager of Finance and Administration (Sr. Director/CAO)Overtime Eligible (Y/N): YPosition SummaryThis position is coordinating daily operations of group benefit programs and assisting payroll team with US/global payroll processing.Essential Duties/Function:•Assist in the preparation for annual Open Enrollment and ensure all enrollment elections are properly processed in a timely manner. Conduct benefit orientations for on/off boarding expatriate staff.•Assist Human Resources in the coordination and implementation of benefits programs. Update benefit and payroll systems to ensure all related payments, deductions, and/or changes are properly captured. Complete all related transactions and calculate accruals for employee benefits. •Assist payroll manager with employee inquiries regarding payroll, accounting and benefits matters, administer and track leaves of absence, and update ADP System with employee time off requests.•Support payroll manager with plan vendors, NLGIA affiliate and third-party administrators; coordinate transfer of data to external contacts for services, premiums, and plan administration; document and maintain administrative procedures for assigned benefit processes.•Assist benefit audit activities and records to ensure they are updated.•Prepare payroll calculations and processing for local and expatriate employees; coordinate information to ensure all related payments, deductions, and/or changes are properly captured. Prepare GL entries.•Assist individual tax filings for expatriate staff with payroll manager; collect required information, process and track tax payments.•Support expatriates/overseas support teams/vendors regarding Global Mobility payroll.•Conduct reconciliations on AMEX transactions using the Concur system and provide required reports to team in a timely manner; collect receipts through the system, review submitted requests according to our policy, identify/correct errors through collaboration with the team, follow up with relevant parties as needed and meet deadlines.•Assist the Sr. Staff Accountant with accounting matters, as requested.•Language support for documents and emails exchanged in Japanese•Evaluate and document procedures to improve efficiency and suggest improvements. •Ad-hoc requests, as assigned.Experience/Qualifications:•Associate’s and/or Bachelor’s Degree in Human Resources, Accounting, Finance, Business or related field required.•2 + years’ experience in US and global payroll (Gross-up) payroll.•Understanding of benefits and accounting, is a plus.•Proficiency with Microsoft Office (Word, Excel, PowerPoint) is required. Working knowledge of ADP, MS Dynamics and Concur is preferred.•Business level proficiency in English and Japanese is required.•Excellent communication and interpersonal skills; ability to compose correspondence.•Highly organized with strong attention to details. The expected hourly rate for this position ranges from $33.66/hr. - $38.47/hr. (annualized gross base pay equivalent to $70,000 - $80,000). It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. In addition to salary, overtime earnings, and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus based on qualitative performance factors.

Minimum Salary: 33.66 Maximum Salary: 38.47 Salary Unit: Hourly
