Robert Half Executive Assistant in Malvern, Pennsylvania

Description

Robert Half is in search of a top-notch Executive Assistant to add some dynamism to our client based in Philadelphia. The Executive Assistant will provide high-level administrative support to the client by managing schedules, monitoring and responding to emails, organizing materials for meetings, and ensuring key initiatives progress efficiently. The ideal Executive Assistant will be successful if they have excellent verbal and written communication skills and the ability to perform multiple tasks within set deadlines.

Responsibilities:

  • Efficiently and promptly resolve any scheduling conflicts and keep the client's calendar updated

  • Prioritize and manage the client's email inbox, ensuring timely responses and follow-ups

  • Field and prioritize incoming calls, providing detailed messages as necessary

  • Ensure all necessary materials for meetings are prepared and organized in advance

  • Act as a liaison between the client and both internal and external contacts, maintaining efficient communication

  • Monitor the progression of key initiatives and projects, ensuring they are advancing as planned

  • Provide general administrative support, including document preparation, file management, and handling confidential information with discretion

  • Utilize calendaring skills to manage and maintain schedules

  • Coordinate meetings, confirming availability and preparations with other Executive Assistants and attendees

    Requirements

The ideal Executive Assistant candidate should have a Bachelor's degree or equivalent combination of education.

Other requirements for the Executive Assistant position include and are not limited to:

  • 3+ years of administrative support

  • Excellent communication skills and organizational skills

  • Experience with calendaring, scheduling, email management, meeting coordination

  • Excellent Microsoft Office Suite skills

  • Knowledge of efficient office procedures and practices
