This position requires the highest level of professionalism, discretion, integrity, confidentiality and attention to detail. We are seeking someone who is very efficient and organized, an energetic self-starter who is able to work independently, a flexible team member committed to going above and beyond to get the job done well and someone with the ability to handle multiple tasks in a fast paced environment. Provides top level administrative support to the executives and management group in areas including but not limited to; schedules meetings, coordinating catering, booking travel arrangements, managing storage file inventory, maintaining organizational charts, preparing expense reports & meeting minutes. This is a hybrid role. You may be eligible for a $500 net sign on bonus to be paid out in your first paycheck

What you'll be doing Serve as the primary point of contact for the executives, ensuring proper coordination, awareness, and preparation with scheduled commitments and appointments Manage executive calendars, including scheduling meetings, appointments, and coordinating with internal and external stakeholders. Manage meetings including greeting guests, preparing conference rooms, arranging for necessary supplies, coordinating food and beverage, and serving as lead host for both high- profile guests and internal team meetings. Arrange travel logistics, including itinerary planning and reservations. Perform general administrative duties including maintaining and updating files, handling incoming/ outgoing mail, assisting in the preparation of written presentations, and acting as a liaison to guests and employees. Lead event planning committees. Assist in employee events for the Malvern office including execution of event, vendor selection and participation Processing invoicing for such events Typical Physical Demands: Regularly uses hands to manipulate phones, computer keyboard and similar tools.  Ability to view computer screens, mobile devices, and other electronic equipment, for extended periods of time.  Sit and stand to perform administrative work.  Regularly lift and move office supplies up to 20 lbs. Work is performed in an office environment. Employees must travel throughout the company footprint as required. Who we're looking for High school diploma required, Associates degree or Bachelor's preferred Minimum of 5 years' of administrative support Proficiency in Microsoft Office suite required Proficient in Concur required Initiative-taker who seizes the opportunity to solve problems and self-starts more rather awaiting direction and guidance from management on routine projects that arise from time to time Strong work ethic who operates with an unquestioned degree of honor, integrity, confidentiality, and commitment to get the job done. Strong interpersonal, customer service and communication skills Ability to multitask Ability to anticipate executive management needs.
