Job Description
JOB FUNCTION:
Offers cross-functional support to all company in the new operating model, managing and following-up on the administrative tasks. Ensures a timely response and the compliance with the internal procedures.
ACCOUNTABILITIES:
Provides support for administrative tasks to all departments (Commercial, Patient Value & Access and Communications, Legal, Compliance, DD&T and HR)
Collaborates with the BCMs on the management and coordination of the marketing plan actions, including the logistics regarding internal and external events organization;
Manages and make the due follow-ups on activities until its closure in SMILE;
Supports on GEARS.
Prepares, gather signatures (DocuSign) and archives contracts/SoW in Linc;
Manages receipt/invoice and PO life-cycle in Ariba, since its creation until its closure;
In charge of new vendors’ register/ updates in ARIBA.
Supports the Due Diligence process, in line with TPRM guidance;
Follow-up on invoices not posted and payments delay, managing possible incidents that may occur during the process;
Contact vendors for administrative tasks such as organization of events;
Supports on internal and external local training courses organization;
Manages collaborations and other activities with physicians;.
Manages shipments of promotional materials to the warehouse and to the sales force, warns owners when materials get close to their expiry date and requests replacement/destruction of materials/SmPCs when requested due to an update;
Identifies challenges in process excellence (internal in the PAC or external) and proposes/participates/leads improvement measures/projects
Participates in Compliance
EDUCATION, EXPERIENCE, SKILLS, KNOWLEDGE
Education:
- University degree, preferably a Master's degree.
Experience:
- Experience in positions of support to sales and/or marketing teams.
Knowledge:
High level of English, oral and written;
Knowledge and use of computer tools.
Knowledge of the internal pharmacovigilance policy.
