Maintenance Parts Room Supervisor/Planner
Position Summary:
The Maintenance Parts Supervisor/Planner position requires technical knowledge, data input and organization, purchasing, and maintenance administration activities. Some of these activities include issuance and review of equipment bids, data collection, work organization and spare parts inventory management for the facility.
The Maintenance Parts Supervisor/Planner is responsible for assisting with the development of reliability based maintenance strategy, based on preventive and predictive maintenance. They will work directly with the Maintenance Manager to build a reliable maintenance team. The Planner will work independently and with other plant personnel to perform preventative, predictive and routine maintenance tasks. The Planner position requires hands on maintenance experience. All tasks will be performed while supporting the policies, goals and objectives of the company.
Primary Responsibilities/Accountabilities of the Job:
Maintain equipment records in the Maintenance SAP System.
Add (and Inactive) equipment records to as equipment is installed or de-installed
Maintain equipment attributes, such as ABC, type, functional location to support repair analysis.
Maintain equipment catalog profiles to drive part failure data collection on notifications.
Setup and maintain all predictive and preventative maintenance plans in SAP to maximize equipment reliability.
Determine the most effective method/tool to conduct preventative and predictive maintenance checks based on equipment critically.
Setup PM Plans in SAP for each piece of equipment, including frequency, mechanic tasks, parts needs, tools needed, safety procedures.
Generate PM work orders in SAP, from the PM plans for the next 14-28 days.
Monitor and report if PM work is being completed to maintain equipment reliability, and comply with regulations and audits.
Release and Schedule PM work orders to maintenance crews.
Seek input from maintenance supervisors to continually improve and adjust PM plans based on equipment and part performance/failure.
Monitor and analyze SAP part failure data (along with supervisors and maintenance manager) to detect trends (good or bad).

Plan and Schedule Corrective work to maximize crew utilization and effectiveness.
Reviews work request (SAP Notifications), collaborates with requestor, and creates the Work Order
Plans the work, including estimated labor by craft (Mech, Elect, Refrig), and special equipment or permits needed.
Identifies and reserves parts (or creates purchase requisitions) for parts and services.
Prepares job plans and work order packets for mechanics.
Maintains a task list library for reuse.

Interfaces with operations to validate work priority and equipment availability
Collaborates with Maintenance Supervisors on next week’s available hours (crew size), to build weekly schedule
Reviews Planned Backlog of work that is ready to execute
Selects work from backlog and schedules the work to crews (while minimizing scheduled overtime).
Leads weekly maintenance scheduling meeting.
Prepares weekly metrics Parts Purchasing
Provide measurable asset management activities required to create and organize a reliable, quick-response parts storage and retrieval system.
Perform research, gather background information, and solicit bids on various maintenance projects and assigned tasks. Based on information gathered, develop alternatives, propose solutions, and recommend course of action.
Determine potential vendors / suppliers for each project or task. Once bids are obtained and recommendations approved, issue purchase order(s) as required.
Document all phases of purchases made within this job description for purposes of Accounts Payables submittals and monthly/yearly closing processes.
Maintain appropriate inventory of maintenance shop tools, materials, supplies and spare repair parts.
Perform various filing, work order tracking in the Maintenance SAP System, and spreadsheet preparation functions.
Collaborate with the Engineering, Maintenance & Facilities staff to communicate all necessary parts information clearly and effectively.
Maintain the order, cleanliness, and general condition of the spare parts area for the Plant including physical handling of parts, coordination of records and shelf labeling.
Collaborate with general building leadership on any process or parts-related issues that require technical, purchasing or Accounts Payable attention.
Perform inventory assessment and reporting of parts used during fiscal periods as required to maintain efficient records.
Executes all maintenance requisitioning of equipment/parts; monitors status of materials and contract services.
Manages spare parts program through the use of the Maintenance SAP System; including identification of critical inventory, optimal stock levels, min/max levels and obsolete parts.
Develops and reports key performance indicators with the team and analyzes relevant data for improvement.
Help develop and maintain work order metrics and dashboards.
Develop best practices and train others on them.
Coordinates contractor services as needed.
Make safety/repair recommendations to maintenance manager/supervisor.
Perform other work as required by the Maintenance Manager.
Skills:
Must possess excellent technical proficiency and mechanical aptitude skills along with considerable organizational aptitude.
Must demonstrate effective oral and written communication skills.
Must possess ability to acquire reasonable skills with standard equipment and hand tools specific to the area of assignment.
Ability to follow oral or written instructions.
Knowledge of basic computer skills
Qualifications & Experience:
2 - 3 years' experience in inventory control
2 – 3 years’ experience managing others.
Purchasing or Parts Room Management background.
Must be experienced with MSWord, Excel, & Windows as well as CMMS, preferably SAP.
Have at least 1 year experience as a maintenance planner or coordinator.
Strong working knowledge of industrial maintenance and electrical functions.
Ability to build and use maintenance library for repairs.
Ability to read and interpret technical/engineering documents, drawings, schematics.
Ability to write detailed repair reports as well as good verbal communication.
Post-secondary education and/or a technical trade degree required.
Schedule:
Must be willing to work a changing shift schedule and on a rotating weekend on call list.
Computer Skills:
Expertise and proficiency with basic office computer software, and the ability to learn how to effectively use maintenance software to input data, research parts and analyze repair history detail.
Thorough working knowledge of Computer Maintenance Management System (CMMS), Purchasing, and Microsoft Office products. Prefer SAP experience.

Working Environment and Physical requirements:
Primarily located in Parts Room but will be required to go down to the Production Floor weekly.

Must be able to crawl, bend, lift heavy items (up to 50 lbs.), withstand heat, climb, and work at heights up to 50 ft.
