Waystar Workplace Experience Manager in Louisville, Kentucky

ABOUT THIS POSITION

Waystar is seeking a passionate and driven Workplace Experience Manager (“WXM”) to help create and deliver a one-of-a-kind onsite experience for our Louisville basecamp. The right candidate has innate intuition, is organized, diligent, and a proactive guru of workplace efficiency who thrives in a fast-paced and autonomous environment. As the face of our Louisville basecamp, you will be the first point of contact for team members, visitors, guests, and vendors and will be the advocate for all office service needs.

The Workplace Experience Manager is an ambassador for workplace excellence, a culture creator who fosters collaboration and has a white-glove approach to all office services. You possess a solutions-oriented mindset for delivering exemplary workplace experience, value the importance of workplace efficiency and understand the value of vendor partnerships. Attention to detail is your trademark, you are a black-belt multi-tasker with a strong sense of urgency, unsurpassed organizational skills, exemplary communication skills and are well versed in budget management. WHAT YOU'LL DO

What You’ll Do

  • Manage the front desk and serve as the first point of contact for all team members, visitors, guests, vendors

  • Own and manage mailroom operations to include coordination of all incoming/outgoing mail

  • Own and manage operations and budgets for breakroom services, office services, food & beverage program

  • Maintain inventory for all office services (supplies, snacks/beverages, print, mail, and more)

  • Own and manage budget for onsite weekly catering

  • Coordinate weekly catered lunches

  • Monthly reporting for Louisville office services

  • Partner with Facilities and manage aspects of space planning (ex: moves, additions, changes)

  • Draft frequent office wide communications/updates

  • Identify opportunities for process and workspace improvements

  • Establish and cultivate internal and external partnerships

  • Anticipate basecamp needs and prioritize tasks to achieve outstanding outcomes

  • Serve as the backup to the Facilities Manager

WHAT YOU'LL NEED

What You’ll Need

  • 5+ years of experience in office management or a related role in a mid-size company

  • Ability to work autonomously and collaboratively in a fast-paced environment

  • In-office 4+ days per week and as needed for special events

  • Intermediate proficiency in Excel to manage monthly reports

  • Exceptional organization and project management skills

  • Intermediate to advanced proficiency in MS Suite (Word, Excel, Powerpoint, Teams)

  • Budget management and reporting experience

  • Strong communication and interpersonal skills

  • Flexibility and adaptability to handle changing priorities, while working effectively under pressure

  • Bachelor’s degree in Business Administration/Management

  • Experience in Tech organization, midsize company

  • Budget Forecasting and Management

  • Management of courier service providers

  • Accepts responsibility and accountability for actions and understands the concept of ownership
