University of Louisville Medical Residency Program Coordinator IV in Louisville, Kentucky

Grade 4N (Hourly)Position Description:The Medical Residency Program Coordinator IV in the Department of Medicine Division of General Internal Medicine at the University of Louisville has a full-time position available to assist the Program Director, four Associate Program Directors, Manager and three Chief Residents in performing duties related to planning, directing, and effectively coordinating the academic and operational activities of a clinical training program. This position operates with additional authority, independence, and complexity. The Coordinator participates in program organization and interacts with faculty, residents, fellows, medical students, staff, university administrative offices, outside vendors, hospitals, medical practices, and clinics.Essential Duties and ResponsibilitiesDirect Resident Services: Provides direct program support for 89 residents. Oversees and coordinates the processes that residents complete to ensure compliance with residency program requirements: ACGME (Program accreditation body), Graduate Medical Education (GME) policies, hospital, state medical licensure boards, etc.Program Administration/Activities: Coordinate residents’ events, e.g. On-Boarding, Orientation, Awards Day, Graduation, Retreats and Social activities. Coordinate completion of resident requirements for graduation. Assemble, compile, and prepare Mid-Year and Year-End Evaluation materials on all residents and disseminate to the appropriate Program Director or Associate Program Director. Coordinate, process and interact with entities outside of the University to place residents in off-site resident clinical rotations and educational experiences. Monitor license and certification requirements for all residents. Cross training of other Department/Program Coordinators to ensure coverage of department responsibilities and other duties as assigned. -Credential Verification: Provides past and current resident credential verifications asrequested by national and international employers, hospitals, fellowship programs andcurrent and former residents.- Records Management: Maintain confidential resident files; current and formerresidents. Update the Residency tracking software, MedHub, as needed: conferenceattendance, scholarly activities, demographics, certifications, etc. Responsible forcapturing accurate and complete information to generate pertinent reports as needed.Information Management: Serve as primary resource for residents, displaying knowledge of program, activities, personnel, division, department and institutional policies and procedures. Ensure consistent, concise, and timely communication with residents, faculty, and staff. Understand the management structure of the residency and maintains effective relationships with faculty and co-workers. Ensures that Internal Medicine captures, collects, organizes, and reports information needed for normal operations, continuous improvement, and compliance. Respond to inquiries regarding an Internal Medicine residency. Operational Duties - Prepares and disseminates the monthly Resident Schedule, working with the Chief Residents to ensure accuracy. Prepares the monthly Attestation Report for the VA Hospital Billing, working the Chief Residents, GME Office and VA personnel to ensure accuracy. Attends weekly Program Directors meeting; attends monthly Program Coordinator meeting; attends GME Weekly Huddle meeting; attends and takes minutes for the monthly Clinical Competency Committee. Work with residents regarding licensing; student loan forms, etc. Answer Training Program Office phone, responding and directing calls as needed: Clinics, Hospitals, other divisions, and departments. Understands the dynamics and objectives of the residency program and assists in the annual assessment and evaluation through the Program Evaluation Committee. Process resident professional organization memberships.Available to work occasional evenings and weekends.Preferred QualificationsBackground in education, residency programs, and/or Graduate Medical Education experience. Experience with MedHub (Residency Records Management System), AMION, and ERAS (Electronic Residency Application Service).Skilled in YouTube and Squarespace.Proficient in MS Outlook, Word, and Excel, PowerPoint.Ability to upload content digitally on various platforms.CompetenciesAnalytical Skills - Evaluating data and other information with the ability to choose the best solution and make recommendations.Communication - Demonstrates effective oral and written communication skills.
