Serves as back-up to the Benefits Administrator. Enters Workers’ Compensation claims data into SAP. Assists with the maintenance of the Workers’ Compensation program. Enters First Report of Injury (IA-1) data into SAP to support annual OSHA reporting. Assists with the maintenance of STD and Salary Continuation leaves. Processes monthly billings. Assists with conducting new hire orientation. Creates and maintains benefit files. Performs database maintenance including producing reports. Prepares Excel spreadsheets, memos and monthly reports. Assists employees with forms, packets and general benefits information. Prepares mass mailings and orders office supplies. Performs administrative duties as assigned. Essential Job FunctionsAssists with the administration of MSD’s benefits program. Changes employee eligibility, terminates and reinstates employee and dependent benefits information in all vendor sites and SAP. Conducts new hire orientation and assists with benefits open enrollment programs. Assists employees with the completion of benefit applications. Assists employees, supervisors and managers with the interpretation of various policies and procedures. Reviews employee claims data to assist in resolving discrepancies. Assists with processing Workers’ Compensation claims. Verifies average weekly wage report for Worker Compensation carrier for claims processing. Maintains open claim files. Updates employee eligibility and elections information in SAP. Assist in updating the weekly leave of absence report. Assists with processing Short Term Disability, Salary Continuation, FMLA, and other leaves of absence. Processes monthly benefit billing such as group medical, dental, life/supplemental life, voluntary LTD, and ancillary benefits to ensure timely payment and no interruption of benefits coverage for employees. Provides administrative and clerical support for the Benefits department. Creates and maintains employee benefit files including new hire files, conducting periodic audits and archiving files. Sends formal announcement of employee intent to retire. Orders retirement plaques and coordinates the distribution to the retiree. Knowledge, Skills and Abilities Necessary to the WorkKnowledge of benefit policies, contracts and government regulations; knowledge of Federal, State and local laws affecting human resources management; skill in oral and written communication; skill in managing multiple priorities; skill in operating a PC and associated Windows environment software (e.g. Microsoft Office Suite); skill in utilizing the Benefits portion of the SAP system; skill in exercising tact and diplomacy; ability to follow written and verbal instructions given by multiple people, with an attention to detail and accuracy; ability to prioritize work effectively; ability to resolve problems; ability to exercise judgment and discretion; ability to be courteous and helpful under pressure; ability to maintain accurate and confidential records/information.Minimum RequirementsAssociate Degree in business, communication or a related field; three or more years of administrative experience; an equivalent combination of education and experience may be substituted. Benefits related experience preferred. Must be able to type 45 words per minute. Must possess a valid driver’s license. Must have safe work and driving habits.
