The USC Alfred E. Mann School of Pharmacy, Fellowship Programs seeks a full-time Program Administrator. The Mission of the USC Mann Fellowship Program is to create Post-Doctoral Fellowship training programs that develop professionals to meet future needs. We achieve this by providing innovative, cross-functional, and collaborative training centered on projects while embedded with industry partners. The USC Mann Industry Fellowships are an interdisciplinary partnership providing multi-year fellowships, joint academic and industry research projects, and a culture of belonging and cross-pollination with USC Mann.
TheProgram Administratoris responsible for project management, strategic planning, and program coordination and is accountable for execution and delivery of all aspects of the Fellowship programs at the USC Mann School of Pharmacy.
Accountabilities include, but are not limited to the following:
Project Management and Program Administration –Develops and administers project planning and tracking tools to ensure successful execution, delivery, and oversight of the USC Mann Industry Fellowship Program on time and within budget. The Program Administrator will lead and coordinate priority projects, proactively track deliverables and timelines, and identify, mitigate, and manage risks while communicating with key internal and external stakeholders.
Event Planning and Meeting Logistics –In collaboration with internal and external stakeholders, plans and executes meetings of up to 100 people, including meeting scheduling, contracting and negotiation with hotels, hospitality and catering vendors, working with AV/logistics and internal USC Events teams, and management, oversight, and risk-management of events to defined scope, timeline, and budget.
Process Improvement –Develops and documents clear, effective, standardized, and efficient processes to support administration and oversight of Fellowship programs. Designs and implements surveys, questionnaires, and data assessments to solicit feedback on meetings, program administration, and fellowship job placements/career outcomes with the spirit of continuous improvement.
Budget and Finance –Develops and administers program budgets, working with stakeholders in finance, business operations, human resources and external industry partners to manage purchase orders, invoices and expense reimbursements. Able to develop guidance, policies, and tracking/reporting tools for effective management of Fellowship Program budgets and providing financial status reports as requested.
External Liaison and Program Recruitment –The Program Administrator will serve as a point of contact for Fellows, External Industry Partners, Prospective Students and Applicants, and USC Mann faculty and staff. The program administrator will be adept with social media, program marketing, developing internal and external newsletters, networking, and collaborating across USC. In collaboration with USC Mann team and industry partners, the Program Administrator will lead and coordinate a high-volume and competitive recruitment, interview, and selection process. The Program Administrator will be able to independently resolve questions, solve problems, and maintain up to date knowledge of the Industry Fellowships to ensure key resources, documents, websites, and portals are accurate and up to date.

The Program Administrator reports to the Senior Director, Fellowship Programs and will work closely with the Executive Director, Fellowship Programs and other internal and external stakeholders. The Program Administrator does not have direct reports but will oversee activities supported by a Program Coordinator and Student Worker.
The annual base salary range for this position is $81,000 - $84,000.
