Robert Half Grants Administrative Assistant in Los Angeles, California

Description

We are offering a contract to hire employment opportunity for a Grants Administrative Assistant to work for our non-profit client in the Mid-Wilshire area. In this role, you will primarily focus on the processing and management of Donor Advised Fund grant recommendations and assist with our annual discretionary grant-making application process. This company offers hybrid flexibility and once full time, you will be off for all Jewish holidays.

Responsibilities:

• Accurately and efficiently process grant recommendations, including preparing and coding grants, data entry, research, due diligence, and maintaining records.

• Ensure that all grants comply with current IRS charitable giving guidelines and specific practices of our organization.

• Conduct research and collect pertinent documents from grantees or external sources.

• Follow up with charities or donors on missing or incomplete information and assist with unique situations.

• Handle confidential information with complete discretion.

• Assist in identifying issues and improvements to the grant-making process.

• Maintain effective work relationships, ensuring positive, respectful, and collaborative interactions with peers, interdepartmental teams, and management.

• Assist in processing grants through their life cycle using various software platforms, including assisting program staff with creating and modifying database records, tracking workflow, and preparing check backup.

• Assist program staff with the preparation and disbursement of grant agreements and amendments, and the review of requests for deadline extensions and other grant-related changes and updates.

• Communicate with grantees and Foundation accounting staff to ensure proper and timely handling of audit and check replacement requests.

Requirements • Proficient in Microsoft Office Suite including Excel, Word, PowerPoint, and Outlook

• Experience with Data Entry

• Ability to handle inbound and outbound calls

• Excellent customer service skills

• Capability to schedule appointments effectively

• Proven track record of answering inbound calls in a professional manner

• Prior experience with email correspondence

• Track record in a non-profit or similar industry is advantageous

• Ability to work in a team and independently when required

• Strong organizational and multitasking skills

• High level of attention to detail

• Excellent written and verbal communication skills

• Ability to adapt to changing priorities and deadlines

• Experience in handling confidential and sensitive information with discretion
