The National Security and Defense (GS-NSD) Program Office is seeking a motivated customer-focused individual to join our team as a Professional Staff Assistant 1 (PSA). The GS-NSD Program Office is responsible for sponsor engagement across the Department of Defense and Department of Homeland Security. As such, we engage in the most pressing national security issues, and work to rapidly delivery technology solutions across the highest levels of government. Our broad portfolio in excess of $150 million annually ranges from biological threats and climate concerns to quantum computing and direct warfighter engagement. This highly dynamic environment offers wide opportunity for the right candidate to grow their skills and responsibilities across the full spectrum of program office support.

In this role, you will be the primary point of contact for our office, providing crucial operational, programmatic, and administrative support. The Professional Staff Assistant (PSA) will take guidance from the Program Office Manager/Office Lead. This position will also work and collaborate across multi organizations in and out of our directorate. While working in a team environment, the successful candidate must also be able to work independently with minimal supervision, establish and balance priorities, be capable of handling personnel and sensitive matters with tact and discretion, to effectively support the Program Office. Specific duties of the position include but are not limited to the following:

  • Provide professional support and coordination for visits and specialized functions related to NSD Programs, which can include high-level government visits requiring coordination with the LANL Protocol Office.

  • Track contract commitments and procurements.

  • Routinely execute project procurements and occasionally seek approval to acquire specific non-routine items (must be able to maintain Designated Procurement Representative qualification).

  • Coordinate logistics, scheduling, announcements, and administrative facilitation of business, operational, and/or programmatic meetings and/or conferences.

  • Assist in tracking and reporting progress toward business, operational, and/or programmatic goals and objectives.

  • Maintain a professional office atmosphere and demonstrate initiative, versatility, accuracy, tact, and professional discretion when dealing with sensitive matters and matters sensitive to national security.

  • Provide expert calendar management for Internal and External collaborations by Program Directors/Program Managers by coordinating commitments.

  • Provide travel assistance and guidance to Program Managers, both domestic and foreign.

What You Need

Minimum Job Requirements:

Administrative Support

  • Proven competence in providing high-level administrative support in a busy office environment, including interfacing with all levels of personnel.

  • Ability to effectively manage complex calendars.

Business Systems

  • Experience providing professional support for complex travel.

  • Basic knowledge of and experience in completing complex procurements.

Communication

  • Excellent communication skills (interpersonal, verbal, and written).

  • Ability to solve problems, develop solutions, and innovate business practices to ensure customer and sponsor satisfaction.

Planning and Coordination

  • Demonstrated experience coordinating high-profile meetings and events.

  • Demonstrated experience assuming responsibility for projects from inception to completion, including reporting on project results.

  • Ability to maintain excellent quality in daily operational work, as well as the fine-tuned skills of organizing, prioritizing, and following through to completion of multiple projects.

Organization and Time Management

  • Demonstrated ability to work effectively and calmly under pressure of multiple deadlines, frequent interruptions, and changing priorities.

  • Demonstrated record of dependability and reliability as proven through good attendance and quality of work.

Clearance

  • Ability to obtain and maintain a Q/SCI clearance, which requires U.S. Citizenship

Education/Experience: Bachelor's degree and a minimum of two years of related experience, or an equivalent combination of education and experience.

Desired Qualifications:

  • Demonstrated ability in independent decision making.

  • Demonstrated experience being proactive, including providing independent guidance.

  • Experience interacting with high-level managers and officials, both internal and external.

  • Experience working with classified network systems.

  • Experience with LANL's visitor procedures.

  • Active Q/SCI.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q/SCI (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Term position: Regular-status Laboratory employees applying for term-status positions may retain regular status with approval of the cognizant Principle Associate Director.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
