Los Alamos National Laboratory Administrative Assistant 4 in Los Alamos, New Mexico

What You Will Do

The Student Programs Office (SPO) within the Partnership & Pipeline organization (PPO) is seeking an Administrative Assistant 4 to help SPO support the Laboratory's employees, managers, and senior leaders in attracting, developing, and retaining a workforce that delivers solutions to some of the most pressing issues facing our nation and the world. SPO is seeking a motivated, customer service focused, and experienced individual to provide professional business and administrative support. The position directly supports an office staff of 6 and provides broad support for 2000 students and upwards of 1500 mentors.

The Student Programs Office seeks a proactive professional to provide administrative and programmatic support. As an Administrative Assistant 4 in our office you will:

  • Execute complex administrative and office-related functions and activities requiring sound judgement, initiative, and independent action.

  • Coordinate calendars and complex schedules.

  • Serve as a timekeeper for the office.

  • Coordinate meetings, trainings, and event scheduling and logistics.

  • Coordinate clearance transfers when needed.

  • Coordinate travel and reimbursements.

  • Generate a variety of internal and external professional correspondence.

  • Serve as Designated Procurement Representative (DPR) for the division.

  • Receive, review, prioritize, track and distribute incoming and outgoing messages, including electronic and hardcopy mail.

  • Perform a wide variety of administrative functions exercising independent judgement within area of responsibility.

  • Monitor mentor training compliance in UTrain.

  • Coordinate visits from outside organizations.

What You Need

Minimum Job Requirements:

Administrative Support

Advanced-level experience providing high-level administrative support in a busy office environment requiring visitor processing, procurement, domestic and foreign travel, meeting scheduling/logistics, calendar management, accurate data entry and tracking, and time keeping. Experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.

Organization and Time Management

Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive, personnel related information. Demonstrated record of dependability, availability, attendance, and punctuality.

Business Systems

Expert-level knowledge and experience with the Microsoft Office Suite (particularly with Outlook, Excel, Teams, and Word). Ability to independently interpret data and information.

Communication

Excellent interpersonal, verbal and written communication skills while interacting effectively with people of all levels throughout the organization hierarchy and in partnership with internal and external organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.

Personal Leadership

Demonstrated ability to calmly manage interruptions and changing priorities; to complete assignments with or without established procedures; and be available and dependable. Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy and discretion in dealing with sensitive and in-confidence information.

Education/Experience: Position requires a High School Diploma and five (5) years related experience or an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

Additional Education

Bachelor's degree in related field is preferred.

LANL Systems and Advanced Software Applications

Proficiency in multiple Laboratory-wide business systems (e.g., Oracle, Concur, Foreign Travel Systems, Visitor and Guest Agreements, Subcontracts and Ariba, etc.); advanced knowledge of computer software applications (e.g., Microsoft applications (in particular Teams and Excel), WebEx, Google Workspace, Zoom, SharePoint, Adobe applications, etc.).

Work Environment:

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 (https://directives.nnsa.doe.gov/supplemental-directive/sd-0206-0002) . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
