Los Alamos National Laboratory Administrative Assistant 3 in Los Alamos, New Mexico
What You Will Do
The Associate Laboratory Directorate for Plutonium Infrastructure (ALDPI) is seeking highly motivated, energetic, customer-focused administrators to provide support to multiple managers and staff within the directorate. Additional responsibilities include interfacing with the Associate Laboratory Directorate for Plutonium Infrastructure (ALDPI) team on administrative issues. At the Administrative Assistant 3 level, the candidate will perform a wide variety of administrative functions with a high degree of initiative, requiring some independent judgment or following the direction of leadership. Duties include procurement; timekeeping; visitor/student/new hire support; completion of forms; data entry and tracking; electronic records management; meeting scheduling/logistics; calendar management for managers and conference rooms; domestic travel arrangements/reimbursements; and researching policies and procedures to complete routine and non-routine requests.
The primary work location is in Richland, WA.
What You Need
Minimum Job Requirements:
Administrative Support:
Demonstrated experience and proven competence performing administrative support in a busy office environment, including interfacing with all levels of personnel. Demonstrated ability to coordinate multiple calendars both personnel and conference room with complex schedules.
Communication:
Excellent oral, written, and interpersonal skills. Demonstrated ability to build effective working relationships and interact with all levels of management including internal stakeholders.
Organization and Time Management
Experience organizing, prioritizing, managing, and following through to completion on multiple assigned tasks in a demanding and fluid work environment. Demonstrated record of dependability, availability, attendance, and punctuality.
Decision Making:
Proven ability to work effectively and efficiently under the pressure of multiple coincident deadlines, interruptions, and changing priorities. This includes organizing, prioritizing, and following multiple tasks from inception to completion.
Business Systems:
Proficient computer skills in MS Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, etc.).
Essential:
An excellent record of integrity, dependability, availability, attendance, punctuality and attention to detail.
Education/Experience: Position requires a high school diploma and 3 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
Experience with LANL Lab-Wide Systems (Oracle, Time and Labor, Concur) Microsoft Teams and SharePoint.
Experience with procurement/DPR responsibilities (ARIBA, P-Card).
Experience with and knowledge of the Laboratory's visitor, guest and foreign visits and assignments programs and processes.
Active Q Clearance
Work Location : The work location for this position is onsite and located in Richland, WA. All work locations are at the discretion of management.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 (https://directives.nnsa.doe.gov/supplemental-directive/sd-0206-0002) . No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
