The successful candidate will be a key part of the Global Real Estate & Facilities team and will be responsible for creating and maintaining all lease administration program standards to support the existing and expanded real estate portfolio for their assigned region (AMER, EMEA, APAC). This region-based role will own oversight and continuous improvement of all lease administration critical functions, to include: abstraction, critical date monitoring, rent and operating expense management, auditing, documentation, and compliance.

The right candidate will demonstrate a senior level of competence understanding the full range of lease administration in an extremely fast paced environment with a high degree of ambiguity and minimal direct oversight.

The role will be based in the assigned region (AMER, EMEA, APAC). Minimal travel may be required.

Key job responsibilities

  • Maintaining standard operating practices for lease related documentation and abstraction of critical information including rent and other financial obligations.

  • Maintaining a master tracking of lease obligations viewable globally from a centralized database.

  • Serving as a primary contact to Amazon Legal and outside legal counsel on all related topics.

  • Facilitating alignment between internal stakeholders to maintain the highest level of compliance related to our lease obligations: financial, operational, regulatory.

  • Assisting with creation of protocols required for new business teams and their leasehold obligations.

  • Establish key performance indicators (KPIs) for sub-programs and ensure effective tracking and reporting mechanisms are in place.

  • Manage annual and quarterly budgets and headcount globally, and create region-specific operating procedures to enhance consistency and control.

  • Collaborate and share best practices with regional Lease Administration teams to support the global standard.

  • Enforce and maintain Global Lease Administration Policies and Procedures.

  • Monitor GRC controls, ensuring data accuracy through rigorous review and audit mechanisms.

  • Work in a matrix reporting structure, encompassing both dotted and hard reporting lines.

Basic Qualifications

  • Significant experience in lease administration to include proficiency in data management software and technology (Oracle), experience in creating and implementing SOP documentation, knowledge of capital planning and tenant improvement tracking.

  • Significant experience in working with and managing a variety of stakeholder relationships to include vendors, contractors, third-party property managers, brokers, and other service providers.

Preferred Qualifications

  • Bachelor’s degree

  • Experience is in similar industry

  • Strong project management skills with the ability to prioritize and manage multiple complex projects simultaneously.

  • Experience in Operational/ CAM reconciliations, budget reviews, and audit processes.
