Overview of the role

You will pr ovide administrative support to the Global Heads of Business Change and Operational Transformation and other London-based leaders in the COO organization (ca. 8-10 people in total).

You will act as an ambassador for the wider COO function, being a first point of contact. The role reports to the Executive Assistant to the COO and Global Head of Operations.

Duties and responsibilities

  • Manage diaries where required, prioritising and filtering out non-essential meetings.

  • Arrange internal and external meetings, conference, and video calls.

  • Provide general secretarial and administrative support, including but not limited to: Word documents, PowerPoint presentations, and travel arrangements.

  • Provide secretariat support to key meetings as required and committees and forums, to include agenda setting, room bookings and meeting scheduling. This might include attendance at key meetings and may also include minute taking/action tracking.

  • Arrange team meetings, coordinating global attendees to ensure optimum time slots; logistics planning including set up and management of video conferencing as required.

  • Be responsible for travel booking and management.

  • Support on specific initiatives where extra administrative support is required. (Examples might include administration required to engage third party consultants or new starter onboarding.).

  • Provide cover for the other administrative roles in the COO department.

  • Carry out additional duties as assigned.

    Technical skills and qualifications

  • Previous secretarial or administrative experience is preferred

  • Advanced Word and PowerPoint, Intermediate Excel and competence at learning new IT applications

    Competencies required

  • Good analytical skills and ability to present clear written and verbal reports

  • Excellent communication skills

  • Ability to proactively build relationships both internally and externally, acting as a real team player who enables success in a busy and dynamic team environment

  • Good planning, organisiational and prioritisation skills essential, with ability to meet tight deadlines, juggle multiple demands, and be adaptable and flexible to meet the needs of the team

  • Strong attention to detail

  • Ability to work on own initiative and be proactive to the needs of the team

  • Discretion and professional demeanor at all times

    Compliance requirements

    At a minimum the role will require you to:

  • Understand and follow laws and regulations applicable for your role, seeking the help of your supervising manager or Compliance if additional guidance is required

  • Understand and abide by all Janus Henderson policies applicable to your role, and seek support/guidance of the policy owner guidance when required

  • You are ultimately accountable for your actions and responsible for seeking further information on any or all of the above as necessary.
