Position Overview:

We are looking for a dynamic Executive Assistant to support our President, Payments & Identity. This full-time position will be based in our vibrant City of London (approx. 7 mins walk from Liverpool Street Station) office at least 3 days a week and will add value through strong administrative, organizational, and task-oriented work.

The Executive Assistant will also back-up and partner with other Executive Assistants to support Entrust’s Senior Leadership. The successful candidate must be prepared to work in a fast-paced environment and possess the ability to be flexible in many different situations.

Responsibilities:

  • Global travel management with significant calendar and schedule coordination

  • Customer interaction with meetings, email follow up and coordination

  • Support for QBR, Board agenda planning and team events Meeting set up and preparation, including agenda preparation

  • Calendar management and coordination using Microsoft Outlook

  • Report and presentation preparation

  • Frequent interaction with employees from all parts of the organization

  • Support colleague engagement activities and events

  • Other administrative duties assigned but not limited to: Answering phones, scheduling appointments and meetings, developing and organizing office procedures, opening and sorting mail, compose letters and memos, create semi-complex spreadsheets and graphics, perform special projects, and manage and update databases

Basic Qualifications

  • Minimum 5 years of administrative assistant experience

  • Proficiency in the use of applications such as Word, Excel and PowerPoint and Oracle

  • Excellent organizational skills with an attention to detail and follow up and being able to prioritize as needed

  • Ability to work and act independently

  • Ability to handle multiple projects and meet stated deadlines

  • Strong interpersonal skills with the ability to work with a variety of individuals, both internal and external

  • Strong problem-solving skills

  • Strong-level of confidence to share insights and provide feedback to the Executive, ensuring transparency and accountability

  • Flexible mind-set – able to navigate issues presented to them
