Innovative Systems Event Manager in London, United Kingdom
Innovative Systems, a worldwide leader of hi-tech data management and AML compliance solutions is looking for a skilled Events Manager who wants to be part of an organization where they can make a REAL IMPACT!
As the Events Manager you will plan and execute B2B marketing events including meetings, conferences, and trade shows, user conferences, breakfast symposiums, road shows, webinars, client lunches, and special events such as golf outings and client holiday parties. You will manage the trade show calendar from strategy development to execution and oversee all operational aspects of events.
From a strategy development perspective, you will be expected to rally a diverse group of individuals to maintain core messages, ensure consistency in how messages are communicated across practice lines and events, and translate those ideas into graphics, exhibits, and promotions, that convey the theme. You will have the support and assistance of the art director and other colleagues.
Tactically, you will be responsible for developing the event calendar, research potential event locations and evaluate alternatives, registration and attendee tracking, presentation and materials support, pre- and post-event evaluations, procurement and coordination of vendor services, facility coordination, exhibit set-up, equipment and catering requirements as required, and on-site event support.
LOCATION & WORK ENVIRONMENT: Hybrid (Pittsburgh, PA or London, UK)
You will HAVE RESPONSIBILITY TO
Plan and Execute B2B Marketing Events
Work with and make recommendations to determine what events to participate in globally
Identify the needs are for each event such as type of venue, booth requirements, sponsorships, catering, and amenities.
Support the Global Sales Team as needed.
Trade Show Strategy:
Develop trade show strategy in partnership with the CMO, demand generation lead and sales.
Identify and negotiate speaking opportunities at key events.
Produce and manage budget forecasts, schedules, checklists, etc.
Select and negotiate services with vendors, ensuring the best quality outcomes and value while remaining within budget guidelines.
Ongoing Vendor / Events Management and Relationship Building
Build and nurture relationship with key industry associations
Review any potential new event and make recommendations on attendance.
Ensure timely completion of all contracts and receipt of all approvals.
Ensure proper execution of all events; develop/complete checklists and other project tracking mechanisms.
Confirm deliverables with all parties prior to the event.
Successfully implement proper business practices and protocols throughout the course of a given event.
Attend events, as required, to ensure deliverables are being met.
Greet guests; ensure event adheres to schedule.
Manage vendors; resolve last-minute problems as seamlessly as possible.
Event Evaluation and Success Assessment
Manage event lead generation and follow up process for leads generated at shows.
Track all leads and event campaigns and provide reporting.
Evaluate and report effectiveness of event through event evaluation surveys/feedback forms. Provide recommendation on future participation at industry shows.
Reconcile expenses; report expenses versus budget.
Advance overall department goals through special projects and initiatives.
Experience and Skills you Need
5-7 years demonstrated experience arranging special B2B marketing events/conferences and knowledge of the principles of events management with ability to independently establish objectives, plan, direct, and evaluate all aspects of conference/special events.
Excellent proven negotiation skills and the ability to understand vendor contracts.
Excellent proven project management skills.
Exceptionally strong organizational and time management skills with high attention to detail.
Proven a bility organizing and prioritizing workflows.
Ability to perform multiple tasks in a fast-paced, team environment.
Strong budgeting skills.
Excellent writing and editing skills for the preparation of working and informational manuals, administrative reports, correspondence and program text.
Ability to represent Innovative at professional and business functions.
Ability to work independently.
Must be willing to travel domestic and international
IT’S A PLUS IF YOU HAVE
Certified Meeting Professional (CMP) designation
Microsoft Office skills: Word, Excel, PowerPoint, Access.
Education:
Bachelor's Degree in Business Administration, Marketing, Travel and Tourism or related field, or equivalent education and experience.
