Description:

Provides support to the Trinity Health Clinical Engineering Program through proven and innovative sourcing approaches for THCE service and support with the goal of achieving significant cost reductions, standardization of ordering parts and services across multiple categories of spend and quality objectives. Responsible for sourcing THCE items requisitioned by the THCE RHM Teams, tracking stewardship and documenting vendor performance (via scorecard). Responsible for the accuracy and thoroughness of items procured through requisition are captured in the THCE's information management systems. Assists in implementation of contractual parts agreements, and ensures adherence through sourcing process. Works with Trinity Health Supply Chain Procurement team and follows their policy's to create a synonymous working relationship with the THCE team in the field and the vendors.

ESSENTIAL FUNCTIONS

Knows, understands, incorporates and demonstrates the Trinity Health Mission, Vision and Values in behaviors, practices and decisions. Applies working knowledge of scanners, faxes, copiers and supports problem analysis and system support on the full process automation. Ensures data collection which supports cost saving and "right" choice on parts ordering occurs within a .05 error rate. Assists with fact finding, best source analysis, vendor score cards and other ad hoc requests. Responsible for providing accurate input to ensure pricing, and key information is gathered to support analysis of spend and opportunity of spend. Works with all areas of THCE, Supply Chain, and THCE Finance to develop and maintain processes that support all procurement relates aspects of the business . May include duties such as performing audits on database information, producing reports from contract data, suggesting processes to increase efficiency and effectiveness of systems and overall general support of processes surrounding sourcing management. Processes requisitions in the THCE sourcing queue (approx. 100 requisitions a day, at 20 min each), through the reverse auctioning sourcing process. Determines best in class quotes that include warranty, delivery and availability, etc. Maintains a complete comprehension of the parts buying agreements to ensure compliance. Tracks and reports on vendor compliance for best in class pricing/warranties, etc. through validation routines on a frequency determined by the type of parts and dollars committed. Documents all stewardship and cost avoidance efforts. As well as, any noncompliance requests from the field. Participates in all vendor review meetings, being full prepared to discuss any issues or concerns, as well as areas of excellence. Creates and maintains central Trinity Health Clinical Engineering sourcing data files structures (electronic and paper) in appropriate repository(s) for all categories of expense. Compiles sourcing documents, insuring information is complete and accurate in order to interface information to appropriate database(s). Supports and contributes to process improvement that provides cost savings, increased efficiencies and enhanced customer service. Analyzes customer issues as assigned, and follows through to resolution for both application support and projects. Supports internal and external customers on price discrepancies and questions related to orders and products. Maintains HIPPA compliance and confidentially of information received, pertaining to but not limited patient, physicians, and associates. Maintains a working knowledge of applicable Federal, State and local laws and regulations, Trinity Health Home Office Integrity Program, Code of Ethics, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior. May handle additional duties and responsibilities as needed or assigned.
