Position Purpose

The People Team Coordinator will play a crucial role in supporting the recruitment processes by assisting with various administrative tasks, coordinating interviews, and ensuring a seamless candidate experience. The ideal candidate will be proactive, adaptable, and possess strong communication skills.

Essential Responsibilities/Accountabilities

Recruitment Support

  • Provide administrative support to the global Talent Acquisition team, including scheduling interviews, coordinating candidate travel arrangements, and managing correspondence.

  • Assist with job postings within recruitment tools and maintain the administration of the company’s Glassdoor strategy under the direction of the Director, Global Talent Acquisition.

  • Assist with the coordination and execution of recruitment events, such as job fairs and campus recruiting activities.

  • Help in the maintenance and administration of our CRM tool within our ATS to effectively communicate with prospective candidates and help recruiters build pipelines.

  • Collaborate with recruiters to schedule interviews, coordinate logistics, and build candidate pipelines using the CRM tool within the ATS.

  • Conduct pre-employment checks, such as reference checks background screenings and drug tests, ensuring smooth process handoffs.

Onboarding & New Hire Coordination

  • Manage and coordinate the U.S. onboarding process for new hires, including communication, system setups (HRIS and ERP), and pre-employment requirements

  • Administer and support New Hire Orientation sessions at the main headquarters location.

  • Ensure accurate and timely data entry for global new hires in ATS and HRIS systems.

Internship Program & Recruitment Events

  • Assist in the administration and delivery of the internship program, including organizing sessions during the internship term.

  • Coordinate and execute recruitment events such as job fairs and campus recruiting activities.

Data & Systems Management

  • Maintain accurate and up-to-date candidate records in the ATS and ensure data accuracy, consistency, and completeness across systems, including HRIS and ERP.

  • Process U.S. terminations, including system updates and requests.

  • Ensure all processing timelines are met in accordance with established guidelines.

Administrative Support

  • Process invoices, wellness reimbursements, and other administrative tasks for the People department.

  • Provide support for organizational visits to headquarters locations.

  • Assist People Operations Specialists with audits, projects, and administrative duties as needed.

  • Process US terminations including all systems requests.

  • Assist and support organizational visits to our HQ locations.

General People Department Support

  • Ensure compliance with all policies and procedures while contributing to the continuous improvement of People processes.

  • Administrative Support for Learning and Development including but not limited to updating and maintaining training records in LMS, scheduling training events

  • Updating and maintaining Sharepoint/Intranet resources for People Team

  • Support other People department initiatives and projects as needed and assigned.

Minimum Qualifications

  • Bachelor's degree Bachelor's degree in Human Resources, Business, or related field or 2+ years previous administrative support and coordination experience in a medium to large corporate environment.

  • Previous experience in HR or recruitment coordination preferred.

  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced and agile environment.

  • Excellent communication and interpersonal skills, with a customer service-oriented mindset.

  • Strong knowledge of Microsoft Office including Word, Excel, PowerPoint

  • Knowledge of HRIS and ATS systems preferred.
