Position Summary

The Test Creation Administrator III is an advanced level support position in which the primary focus is on varied and complex administrative duties under minimal supervision performed in support of test creation. This role trains and assists in mentoring other support staff and monitors workflow. In addition, this position offers clerical support for the group and uses specialized software.

Responsibilities

Test Creation:

  • May assist Test Development staff with recruitment of Outside Item Writers (OIWs) and logistics of getting material to and from OIWs and reviewers. Under minimal supervision, draft correspondence, follow up, complete paperwork and payments

  • Process copyright permissions and scanning

  • Enter items into and create packages in the item banking system

  • Assist with processing candidate inquiries

  • Use workflow management tools in the test creation system to monitor item creation progress against established targets and deadlines. Follow up with individuals and item-creation teams on assignments and work with Test Developer to resolve problems

  • Communicate assignments to OIWs and monitor completion of their work according to schedule and specifications

  • May perform some inventory management functions, including generating reports for complex inventories

  • May assemble tests or pools of items using test assembly system

  • Serve as area point-of-contact for complex item banking systems troubleshooting

  • Recommend process improvements to achieve shorter cycle time, reduced costs, greater customer satisfaction and quality maintenance

  • Assist with reliability, validity or comparability studies, including recruitment of participants and serving as their point of contact for the study

  • May participate on test creation team

  • May collect and update information on test development procedures and test specifications

  • Train Test Creation Administrators and other staff as necessary in the use of the item banking system

Administration:

  • Perform general administrative functions as required in support of test creation

  • Assist with travel arrangements and expense reports

  • Copies and distributes materials

  • Handles logistics for group, internal or team meetings under direction of supervisor

  • Enters data, updates and maintains existing records, logs, files and forms

  • Review, apply and/or suggest edits to documents, presentations and spreadsheets for accuracy and completeness

  • Organize and prepare mass mailings

  • Communicate with staff at all levels as well as internal and external customers

  • Analyze/suggest alternatives to improve administrative and operational work processes to create efficiencies, reduce costs, and enhance quality

  • Facilitate various activities related to program or departmental SharePoint sites

  • Assist with software support for the group

  • Adhere to ethical standards and comply with the laws and regulations applicable to your job function

Education, Certifications, or Special Licenses

  • An Associate’s Degree or High School diploma and equivalent experience is required.

  • 5+ years of progressively responsible administrative experience is required

Other Requirements

  • Advanced level skills with Microsoft applications (Outlook, Word, Excel, PowerPoint, Access)

  • Excellent verbal and written communication skills

  • Strong organizational and time management skills

  • Attention to detail and must demonstrate high degree of accuracy

  • Ability to prioritize multiple assignments and multi-task

  • Ability to follow up and follow through

  • Basic project management skills
