Aston Carter Administrative Coordinator in Lincoln, California

The Administrative Coordinator supports the strategic activities, tactics, planning, and execution of the manufacturing facility.

Responsibilities

  • Process UPS/Unishippers small package shipments.

  • Work in GlobalTranz shipping portal for processing LTL shipments.

  • Generate and prepare E2 Packing Lists for small package and LTL shipments.

  • Work with qualified and approved partial and full truck load brokers and AWI Transportation department to ship finished products.

  • Generate Purchase Orders in the E2 shop management system.

  • Order manufacturing supplies using online and local vendors.

  • Track receiving of deliveries in the E2 system.

  • Maintain manufacturing supplies storeroom: stock levels and organization.

  • Oversee monthly inventory counting of raw materials and finished products.

  • Assist with safety program administration, communications, training, tracking, and inspections.

  • Prepare expense reports.

  • Oversee records retention program.

  • Assist with onboarding new employees.

  • Plan events.

  • Receive, process, and distribute all internal/external mail.

  • Maintain inventory of office supplies.

  • Answer the main phone line.

  • Greet visitors.

  • Oversee visitor log and sign-ins/outs.

  • Provide administrative support for General Manager and Operations Manager as needed.

  • Perform additional and various administrative tasks as required.

Skills & Requirements

  • Administrative support in an office environment.

  • Skilled in clerical tasks such as data entry, filing, scheduling.

  • Proficient with Microsoft Office.

  • Skilled in basic accounting tasks.

  • Able to work under the pressure of time constraints.

  • Communicate and work well with others.

  • Expected to strive for excellence and support the success and profitability of the company.

  • Able to work in stationary positions for long periods of time.

  • Display professional conduct and adhere to company policies.

  • Move up to 10 lbs of related documents.

Work Environment

Small office environment where you will work directly with the owner and other team members. The schedule is flexible, as this is a part-time role (20-30 hours per week). The office is family-oriented and offers opportunities for growth in roles and responsibilities as the company grows. The typical work hours are mid-morning to afternoon.

Pay and Benefits

The pay range for this position is $25.00 - $30.00
