The Academic Program Coordinator coordinates the day-to-day aspects of Mercy Health – St. Rita’s Medical Center Graduate Medical Education (GME) Residency Program in collaboration with the Program Director (PD) and GME Administration Office. The Academic Program Coordinator will collaborate with attending physicians, residents, and the other institutional and regulatory administrative offices. The Academic Program Coordinator collaborates with the PD to ensure all Accreditation Council for Graduate Medical Education (ACGME) Program Accreditation Guidelines and Council on Podiatric Medical Education (CPME) program needs are met. The Academic Program Coordinator will have responsibility managing logistics of multiple events including event planning and management for both, including internal and external events. This is a professional position that requires interaction with Physicians, Residents, Medical Students, Senior Leadership, and Academic Institution Administrators and Faculty. As such, must perform other appropriate duties as required in a competent, professional, and courteous manner.
Summary of Primary Function/General Purpose of Position
Coordinates the organization and management of residency program development, tracking, implementation, evaluation, and providing/maintaining resident services for Medical Education including but not limited to rotations schedules, assignment of preceptors, and completion of performance evaluations, program related activities, orientation, memberships/licensing/renewals, invoice processing, training verifications, applications. Develops and maintains program and recruiting webpages with GME Administration.
Develops and maintains unique knowledge regarding the Specialty-specific board requirements, ERAS, NRMP, Resident Management System, ACGME, CPME, and/or APA program requirements, policies, and procedures that are critical to support the GME Program. Maintains confidential resident files and database records. Performs quality assurance audits to ensure accurate and complete records. Gather and maintain records for credentialing, and reimbursement. Maintains resident and faculty scholarly activities for the Annual Program Review (APR) due annually to the DIO.Monitors resident/faculty expiration dates and ensures timely renewal, including but not limited to licensure, DEA-certification, professional liability insurance, and other certifications.

Manages payment of invoices, educational stipends, and preparation of annual budget related to the residency training program.
Coordinates residents’ contracts and ensures program letter of agreements (PLA) with the Legal and GME Administration Department. Facilitates Human Resources functions related to employment of residents. Assists with onboarding orientation. Coordinates and organizes program wide events such as welcomes, graduations, celebrations, and off-site events.
Coordinates GME program recruitment. Manages trainee applications, communicate with potential applicants, coordinate interview schedule, organize interview events.
Coordinates and prepares meeting agendas, documents, and record meeting minutes for program committees (residency committee, clinical competency committee, faculty development, wellness activities/retreats, etc.)
Participates in the development of and manages, updates and distributes program policies, competency-based rotation goals and objectives, manuals/handbooks, rotation and on-call schedules, didactics for residents.
Manages and oversees event management for faculty speaking engagements including vendor/venue relationships, budget/invoice/payment collection, marketing and creating additional opportunities.
Serves as a representative and liaison for the Residency in cooperative efforts with the faculty, other specialty departments, outside institutions, GME Administration Office, CME Administration Office, and Medical Staff Office. Directs collection of data for submission to accrediting bodies and other regulatory agencies, including all accreditation visits, educational visits, and inspections of the GME Program. Prepares and submits required monthly, quarterly, semi-annual, and annual documentation for medical education and/or accreditation agencies. Negotiates with other institutions to secure required educational experiences for resident(s).
Engages in life-long learning by taking courses that further professional growth, knowledge, and expertise to enhance residency program coordination skills. Attend at least one professional development meeting per year.

Required Minimum Education: 2 Year/Associates Degree
Preferred Education: 4 Year/Bachelor's Degree
Minimum Years and Type of Experience: 2 years of Healthcare experience
