Summary of Duties:
Under general supervision, the position is responsible for independently performing a variety of confidential administrative duties to support activities within the Department of Medical Education and Clinical Sciences (DMECS). This includes the coordination of the DMECS Community Faculty appointment and renewal process (approximately 2,500 current affiliate members) via database entry and maintenance, communication with diverse and geographically dispersed stakeholders across the College and University, and identification of process improvements.
The Community Faculty appointment, renewal and advancement process requires specialized knowledge of policy, procedures and the understanding of use and interface of multiple electronic systems unique to DMECS. The DMECS Program Assistant will collaborate to identify, investigate, propose solutions, solicit feedback and resolve problems which impact multiple stakeholders to perform this and other projects.
Additionally the Program Assistant will provide administrative support to leaders within the department, scheduling meetings and events, calendar coordination, and other document creation requiring strong Microsoft Office skills; database entry, spreadsheet maintenance, travel processing, purchasing support, and responding to inquiries which require substantive knowledge of policies and procedures.
Each DMECS Program Assistant will be assigned specific Vice Chairs to support. Support will extend to the faculty affiliated with the Vice Chair and the program assistant will support faculty annual reviews, promotion/advancement, renewals and other related needs processes.
A courteous manner and a high-level of professionalism are required as this role frequently interacts with executive team leaders from the college, campus and university system, as well as, community and business leaders throughout the state.

Required Qualifications:
• High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.
Additional Requirements:
• Experience developing, implementing and/or enhancement of process or procedures.
• Demonstrated strong computer skills including proficiency with Microsoft Office Excel, Outlook and Word.
• Demonstrated excellent written and spoken communication skills. Demonstrated skills relating to attention to detail.
• Demonstrated ability to present themselves in a professional manner in all forms of communication.
Preferred Qualifications:
• Demonstrated experience preparing correspondence, reports and/or presentations.
