Responsibilities

Description of Position:

The Administrative Assistant (AA) manages the front door reception and telephone reception areas, including answering inquiries and providing information for the general public, visitors and other interested parties in a gracious and professional manner. The AA maintains the stats program, as well as supports the Corps Administration by performing clerical duties, which may include, but not be limited to, a combination of typing, filing, and office machine operation.

Qualifications

Requirements:

  • Greet a diverse population of people in a friendly and professional manner, directing them to the proper department, program/event, or employee, as well as calling said employees, as needed, to come to the main office to greet their guest.

  • Ensure telephone/front desk is always covered during office hours, referring calls to the appropriate individual, as well as take written messages, as requested by staff.

  • Change telephone messages as directed by Corps Officer, ensuring communication with community is accurate and up-to-date.

  • Retrieve phone messages from the main phone extension, give the messages to the proper employee at their preferred method, via message forwarding or duplicate written message forms and placed in mailboxes, and notify staff each morning of said messages.

  • Support the Corps Officer/Staff with the Angel Tree Program, including correspondence and scheduling the pick-up of gifts.

  • Prepare letters for Holiday Programs, as directed by Corps Officers, including sending letters to kettle and counter kettle locations for approval to solicit.

  • Type thank you letters for donations, as directed.

  • Sort the incoming mail and place it in the proper mailboxes.

  • Support corps officer with accounting, including preparing banking deposits, retrieve bank statements, and sending information to the centralized bookkeeper.

  • Assist in the counting and documentation of incoming funds, including, but not limited to, counter kettles and program payments, as well as provide necessary receipts, as requested.

  • Inventory office supplies and place orders when needed, including communicating with staff and staying on budget and seeking the best prices.

  • Retrieve stats from various programs and record in the stats database.

  • Understand the Turbo Stats program to provide stat reports, as requested.

  • Maintain Summer Camp database and receipt fees collected for program,

  • Work closely with the Childcare Coordinator and Corps Officer in developing a system for retrieving late payments that offer grace and understanding to parents in need.

  • Assist Corps Officer with uploading of receipts for JP Morgan, retrieving receipts from employees for office card when necessary.

  • Oversee process of Tax Letter for Summer Camp.

  • Obtain and record Gifts-in-Kind, sending the same to centralized bookkeeper.

  • Keep the reception area neat and organized.

  • Assist in the processing of employee hire packets.

  • Maintain the employee time cards and submit to Corps Officer for payroll, as well as educate new staff on the time clock process.

  • Assist, as requested, in bulk mailings.

  • Maintain Office Calendar, including reminding staff to share dates with you monthly.

  • Maintain filing system, according to TSA guidelines.

  • Maintain standards of thoroughness and accuracy established for the job.

  • Meet time frames established for completion of assignments and goals.

  • Attend staff meetings.

  • Perform duties in an independent manner, seeking guidance and direction when necessary.

  • Maintain confidentiality of client/employee records and information and uses complete discretion when discussing client/employee matters.

  • Perform additional duties, as assigned.

  • Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks: PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check.
